Overall Responsibility:
The Residential Administrative Assistant will assist the Residential Team with the administration of residential services and ensure information sharing and processing is effective and efficient. This position has access to confidential information on both staff and people we support so must adhere to agency policy for confidentiality and use a clean desk policy for front reception whereas all confidential information is in files in a lockable area at the end of each work day.
Specific Duties:
Administration:
- Reception for residential office; answer phones, greet all guests, and direct to appropriate member of management
- File administration; maintain files on server and paper files at residential office including all archival duties
- Manage Calendars as needed
Finances:
- Month end review and audits
- Review withdrawal slips prior to signatures to ensure in compliance with FCP
- Assist with special purchase requests
- Ensure paper work for SDM is completed and ready as per plan
- Identify any concerns to the Residential Team
Staff Coverage/ On-call Duties:
- Manage the residential emergency on call phone when transferred to the residential office
- Answer incoming calls, provide guidance, and direct to appropriate managers
- Complete coverage for sick calls made to the on call phone
Training:
- Book and schedule training as directed
- Prep packages for scheduled training sessions and have ready for assigned trainer
Meeting Coordination:
- Schedule meetings as needed
- Connect with and invite appropriate people based on type of meeting
- Schedule appointments on internal calendars
- Book space for meeting
- Develop meeting documents as required

Pay: $18.00-$18.50 per hour
