Sathya Sai School of Toronto is an independent elementary school (JK–Grade 8) operating in accordance with Ontario Ministry of Education requirements for private schools. The school offers a structured academic program with clear expectations, high student engagement, and a supportive parent community. The school has consistently received a 10/10 rating from the Fraser Institute since 2006.
We are seeking an Administrative Assistant II to support the day-to-day operations of the school.
Responsibilities
- Assist the School Administrator with managing all aspects of student’s affairs such as student enrolment, admissions testing, maintaining student records and day to day running of the office.
- Answer incoming calls and emails, route inquiries, and contact parents when directed as a back up to the administrator during her absence
- Manage and set up personal computers for teachers and staff and assist with any minor technical help with windows computers. Training to be provided.
- Maintain the technology asset inventory and coordinate servicing or replacement
- Assist with Google Workspace administration, including user provisioning, shared drives and forms.
- Assist with cataloging and restocking books for the school library
- Set up and operate AV systems during events, concerts, assemblies, and presentations. Training to be provided.
- Assist with the Management and manage the door access and video surveillance systems. Training to be provided.
- Liaise and coordinate with vendors to manage building security system, school bell system, door access system, building repairs and maintenance such as roof, landscape maintenance, HVAC systems, electrical and any other repairs
- Maintain physical organization of the library including restocking and manage circulation
- Provide administrative assistance such as photocopying, filing, and preparing presentation materials
- Support teachers by monitoring the class when there is an emergency and when the teacher is occupied (non-instructional supervision only)
- Support school events including assisting with setting up microphones and audio / video systems and venue set up
- Distribute the daily message to faculty and post approved content to the school’s social media platforms (Instagram, Facebook)
- Supervise morning and evening door duty during student arrival if needed
- Any other school duties as assigned.
Education
· College diploma or certificate / degree in Office Administration, Business Administration, or a related field
Experience
· 2–4 years of experience in an administrative or office support role
· Experience supporting multiple staff members or executives in a professional office enviroment
· Experience in a nonprofit environment is beneficial but not essential
Technical Skills
· Experience in office administrations
· Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
· Proficiency in Google Workspace. (Google Sheets, Google Docs, Google Drive)
· Knowledge of Google Admin platform is an asset but not required.
· Strong keyboarding and document formatting skills
· Basic knowledge in computer systems setup and audio video systems setup and operation
· Strong organizational skills
· Effective communication with parents, students, volunteers and colleagues
· Knowledge of the use of social media platforms such as Facebook and Instagram
· Ability to provide consistent progress reporting to management

Compensation
· Salary range $40,000 - $42,000 based on experience. + benefits
· Employer paid extended health and dental benefits, along with 100% employer paid RRSP contribution plus voluntary RRSP matching contribution up to 2%, paid vacation, paid sick leave and paid personal leave.
