About the Role
Prompta AI is looking for a Commercial Operations & GTM Coordinator to support business development, proposals, CRM operations, digital go-to-market campaigns, marketing execution, and cross-functional coordination.
This is a hands-on role for someone who is highly organized, detail-oriented, comfortable with digital tools, and excited to work closely with the founders of a growing AI company.
The role is ideal for an early-career professional who wants exposure to sales, marketing, proposals, client work, and startup execution. You will help ensure that opportunities are tracked, proposals are submitted, campaigns are executed, and internal workflows stay organized as the company grows.
You will work across tools such as HubSpot, Apollo, Microsoft Teams, LinkedIn, email outreach platforms, WordPress, and proposal documents.
Key Responsibilities
Digital GTM & Outreach Campaigns
- Support the planning and execution of digital go-to-market outreach campaigns.
- Use tools such as Apollo to build prospect lists, identify target accounts, manage outreach sequences, and support lead generation.
- Assist with outbound email, LinkedIn, and digital outreach campaigns.
- Track campaign activity, responses, follow-ups, and performance.
- Help organize segmented target lists by industry, buyer type, geography, opportunity type, or campaign theme.
Digital Marketing & Website Support
- Support digital marketing campaigns across email, LinkedIn, web, and other channels.
- Help update website content, landing pages, service descriptions, blog posts, case studies, and campaign pages.
- Assist with drafting and publishing LinkedIn posts, newsletters, short-form content, and marketing copy.
- Help turn Prompta AI’s work, insights, and client experience into clear marketing and sales content.
- Track campaign performance and help organize marketing assets.
CRM & Sales Operations
- Maintain and update HubSpot with accurate contacts, companies, deals, activities, notes, tasks, and follow-ups.
- Support pipeline tracking, sales reporting, and CRM hygiene.
- Help prepare account research, contact lists, outreach notes, and follow-up materials.
- Support founder-led sales activity by ensuring opportunities are organized and next steps are clear.
- Help track sales conversations, proposal status, and client engagement activity.
Client Engagement & Delivery Support
- Support client engagement activities by coordinating materials, meetings, notes, timelines, and follow-ups.
- Help prepare client-facing documents, presentation materials, and project updates.
- Track action items and ensure internal follow-through.
- Support delivery teams with coordination, documentation, and organization where needed.
RFPs, Proposals & Business Development Support
- Support the development and coordination of RFP responses, proposals, and business development submissions.
- Draft, edit, format, and organize proposal content.
- Help manage proposal timelines, requirements, documents, and internal inputs.
- Maintain reusable proposal materials, including company descriptions, case studies, resumes/bios, project examples, and service descriptions.
- Conduct research on clients, opportunities, competitors, and procurement requirements.
- Support the preparation of sales decks, capability statements, and business development materials.
Internal Coordination & Systems
- Help organize Microsoft Teams channels, shared folders, documents, templates, and internal workflows.
- Improve internal documentation and repeatable processes.
- Support basic contract tracking, vendor information, and coordination activities.
- Help ensure company materials are easy to find, current, and well organized.
- Support the founders with coordination tasks connected to growth, sales, partnerships, and company-building.
Investor & Growth Support
- Support investor outreach campaigns and tracking.
- Help organize investor lists, outreach notes, follow-ups, and materials.
- Assist with research and coordination related to fundraising, partnerships, and strategic growth opportunities.
- Support updates to investor materials, company profiles, and related content.
Ideal Candidate Profile
The ideal candidate will have:
· Must have a recent post-secondary degree or diploma from a recognized college or university.
· 1–3 years of experience in business development, proposals, marketing, sales operations, GTM operations, consulting support, or startup operations.
· Experience using HubSpot or another CRM.
· Experience setting up, managing and using Apollo or similar prospecting, lead generation, or sales outreach tools.
· Experience supporting digital GTM outreach campaigns.
· Experience supporting digital marketing campaigns, email campaigns, LinkedIn campaigns, or lead generation campaigns.
· Strong writing, editing, and communication skills.
· Strong organizational skills and attention to detail.
· Comfort managing multiple priorities, deadlines, and workstreams.
· Ability to work independently in a remote environment.
· Interest in B2B sales, AI, enterprise transformation, consulting, digital modernization, or SaaS.
· A practical, flexible, “get things done” mindset.
Nice to Have
- Experience supporting RFPs, proposals, grants, procurement submissions, or business development documents.
- Experience updating WordPress website content.
- Familiarity with Microsoft Teams, SharePoint, Canva, Webflow, WordPress, or similar tools.
- Experience with LinkedIn outreach, newsletter tools, or marketing automation platforms.
- Experience supporting founder-led sales or startup operations.

In the first 90 days, success in this role means:
- HubSpot is clean, current, and actively supporting sales follow-up.
- Apollo lists and campaigns are organized, launched, and tracked.
- Digital GTM outreach campaigns are running with clear lists, messaging, sequences, and follow-up tracking.
- RFP and proposal materials are easier to find, reuse, and update.
- Website and marketing content updates are completed more consistently.
- Sales, proposal, marketing, and client follow-up tasks are better organized.
- Microsoft Teams and internal folders are easier for the company to navigate.
- Founders have better visibility into opportunities, campaigns, deadlines, and next steps.
