Job Overview
We are seeking a dedicated and organized Medical Office Administrator to join our healthcare team. The ideal candidate will possess a strong background in administrative tasks and have experience in a medical office environment. This role requires excellent communication and organizational skills, as well as the ability to manage multiple responsibilities effectively. The Medical Office Admin will play a crucial role in ensuring the smooth operation of our office and providing exceptional support to both staff and patients. Good working knowledge of AVA EMR will be a great asset. Must be willing to work in both clinic locations.
Duties
- Oversee front desk operations, including greeting patients and managing appointments
- Handle multi-line phone systems with professionalism and courtesy, addressing patient inquiries and concerns
- Maintain accurate patient records through effective filing and data entry practices
- Assist with bookkeeping tasks, including managing invoices and vendor relationships
- Support human resources functions such as payroll processing and employee training & development
- Collaborate with team members to ensure efficient office operations and high-quality patient care
- Implement organizational systems to streamline office processes and improve workflow
- Provide clerical support, including correspondence preparation, document management, and inventory control
Experience
- Supervising experience is preferred to lead administrative staff effectively
- Previous front desk experience in a medical or healthcare setting is highly desirable
- Strong background in bookkeeping, clerical duties, and administrative support functions
- Excellent communication skills for interacting with patients, vendors, and team members
- Demonstrated organizational skills with the ability to prioritize tasks efficiently
- Experience in team management to foster a collaborative work environment
- Familiarity with budgeting processes to assist in financial planning
