Administrative Assistant/Receptionist

About Us
We are an audio electronics company specializing in the design, assembly, testing, and distribution of professional audio products. We are looking for a highly organized, detail-oriented Administrative Assistant to support our daily operations and help keep our office running efficiently.
Position Summary
The Administrative Assistant will provide administrative and clerical support to management and various departments, including customer service, purchasing, production, and shipping. The ideal candidate is organized, proactive, and comfortable working in a fast-paced environment.
Responsibilities
- Answer phone calls, emails, and greet visitors professionally.
- Prepare and maintain documents, reports, and spreadsheets.
- Process purchase orders, invoices, and other administrative paperwork.
- Maintain filing systems (digital and physical).
- Assist with inventory records and office supply management.
- Coordinate shipments and receive deliveries.
- Support customer service by responding to inquiries and directing requests.
- Assist with scheduling production and service appointments.
- Perform data entry with a high degree of accuracy.
- Help coordinate company events, meetings, and travel arrangements.
- Provide general administrative support to management and other departments.
Qualifications
- High school diploma required; post-secondary education in Business Administration or a related field is an asset.
- Strong written and verbal communication skills.
- Excellent organizational and time management skills.
- Ability to multitask and prioritize work effectively.
- High level of attention to detail and accuracy.
- Professional, dependable, and self-motivated.
- Interest or experience in audio electronics or technology is an asset but not required
Preferred Skills
- Familiarity with inventory management and purchasing processes.
- Basic understanding of professional audio equipment.
- Comfortable working with technical staff and production teams.
- Experience handling confidential information with discretion.
