Role Overview
The Student Services & Compliance Coordinator is a senior individual contributor role responsible for coordinating student support functions across HWCC campuses and serving as the institution’s primary liaison for regulatory compliance and reporting. This role ensures a consistent, student-centered experience from enrollment through graduation while supporting operational alignment with provincial regulations, accreditation standards, and institutional policies.
This position works closely with Academic Directors, Compliance Director, and the student services team to maintain high-quality service delivery, accurate compliance documentation, and strong student outcomes across all HWCC schools.
Key Performance Indicators
Student Experience: Support delivery of consistent, student-centered services that contribute to strong graduation and retention rates.
Job Placement Outcomes: Coordinate placement tracking and employer outreach in alignment with provincial placement outcome standards.
Regulatory Compliance: Maintain accurate records and timely submissions for provincial and accreditation reporting obligations.
Student Satisfaction: Monitor satisfaction data and escalate trends that require program or service adjustments.
Key Responsibilities
Student Support & Retention Coordination
- Coordinate monitoring of student academic progress and flag at-risk students for appropriate intervention.
- Support early alert processes and proactive outreach to students experiencing academic, personal, or social challenges.
- Track and report on retention metrics, graduation outcomes, and placement data across campuses.
- Maintain a working understanding of all HWCC programs to ensure services align with academic requirements and student timelines.
Compliance Liaison & Regulatory Reporting
- Serve as the primary point of contact for student services compliance across provincial private career college frameworks (BC, AB, SK).
- Maintain required documentation for regulatory bodies, including student records, enrollment data, complaint logs, and program delivery compliance.
- Coordinate and prepare submissions for regulatory reporting cycles, audits, and accreditation reviews (CMTCA, CMMOTA, and provincial ministries).
- Ensure student services policies and procedures reflect current regulatory requirements across all campuses and schools.
- Support preparation for site visits, accreditation surveys, and compliance audits by maintaining organized, audit-ready records.
Systems & Data Management
- Ensure accurate and up-to-date student records in Campus Login CRM and Moodle across all campuses.
- Coordinate data collection and prepare reports on student services metrics, including retention, graduation, and placement outcomes.
- Prepare documentation and data summaries for senior leadership, regulatory submissions, and accreditation stakeholders.
Cross-Campus Coordination
- Act as a coordination point across HWCC’s four schools (ACMT, PCMT, PCCMT, MOCC) to ensure consistency in student services delivery.
- Liaise with Admissions, Finance, and Academic teams to support seamless student pathways and resolve service gaps.
- Participate in student services team meetings and contribute to continuous improvement of processes and service standards.
- Support planning and execution of student engagement activities and orientation programming.
Qualifications
- Diploma or degree in education, student affairs, health administration, business, or a related field from a recognized Canadian institution (equivalent international credentials will be considered).
- Minimum 3–5 years of experience in student services, academic advising, or a related role within a post-secondary or private career college environment.
- Experience working with regulatory frameworks in BC, Alberta, or Saskatchewan private career college sectors is a strong asset.
- Familiarity with accreditation processes (CMTCA, CMMOTA, or similar bodies) is an asset.
Knowledge & Skills
- Working knowledge of provincial private career college regulations and student funding programs.
- Strong organizational and documentation skills with the ability to manage multiple reporting obligations simultaneously.
- Comfort with student information systems and CRM platforms; experience with Moodle and Campus Login CRM is an asset.
- Proficiency with Microsoft 365, including Teams, Outlook, and Power Automate.
- Clear written and verbal communication skills; able to produce accurate regulatory submissions and plain-language student-facing materials.
- Collaborative, detail-oriented, and able to work with a distributed team across multiple campuses and time zones.
Experience working with adults in a health or wellness education environment is an asset.
Pay: $50,000.00-$65,000.00 per year
