Job Summary
We are seeking a detail-oriented and organized Bookkeeper/Administrative Assistant to join our team. This role is essential in maintaining accurate financial records, managing administrative tasks, and providing exceptional support to our office operations. The ideal candidate will have strong computer skills, experience with office management, and a professional demeanor to handle front desk responsibilities and customer interactions effectively.
Duties
- Manage bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and financial reporting
- Perform data entry with high accuracy to maintain up-to-date records
- Handle accounts payable and receivable processes
- Assist with administrative functions such as filing, document management, and record keeping
- Greet visitors and manage front desk duties, including multi-line phone systems and customer support
- Provide excellent customer service through phone etiquette and professional communication
- Support office operations by organizing schedules, appointments, and correspondence
- Proofread documents for accuracy and clarity before distribution
- Maintain organized filing systems both digitally (Google Workspace) and physically
- Assist with medical or dental office-related tasks if applicable, including patient scheduling and insurance documentation
Qualifications
- Proven experience with Office applications such as Microsoft Office (Word, Excel) and Google Workspace
- Strong computer skills with proficiency in data entry and clerical tasks
- Experience using QuickBooks for bookkeeping purposes
- Previous administrative experience in an office setting preferred, including front desk or receptionist duties
- Excellent organizational skills with the ability to multitask efficiently
- Strong attention to detail for proofreading and data accuracy
- Exceptional customer service skills with professional phone etiquette
- Ability to handle multi-line phone systems effectively
- Knowledge of medical or dental office procedures is a plus, especially dental receptionist or dental office experience
- Prior clerical experience demonstrating organizational skills and reliability
