Real Estate Administrative Assistant

About the Role
We are a growing real estate brokerage in Calgary looking for an experienced, organized, and professional Real Estate Administrative Assistant to support our brokerage operations and real estate team.
This role is best suited for someone who already understands real estate administration, transaction paperwork, listing coordination, CRM management, and client communication. The ideal candidate must be detail-oriented, confident on the phone, able to manage multiple files, and comfortable working in a fast-paced brokerage environment.
Key Responsibilities
Administrative & Brokerage Support
- Manage and organize real estate transaction files and documents
- Prepare real estate contracts, forms, amendments, waivers, listing documents, and other paperwork
- Assist with listing coordination and MLS input
- Maintain accurate digital and physical records
- Update and manage CRM systems and client databases
- Schedule appointments, showings, meetings, and follow-ups
- Support agents with daily administrative tasks
- Ensure files are organized and completed in a timely and professional manner
Inside Sales & Client Communication
- Respond to incoming inquiries from buyers and sellers
- Contact and follow up with online buyer and seller leads generated through marketing campaigns
- Make outbound calls to prospective clients to introduce brokerage services
- Qualify leads by asking questions about buying, selling, timelines, and motivation
- Schedule appointments for agents
- Maintain consistent follow-up with leads and prospects in the CRM
- Assist with nurturing past clients and new prospects
Qualifications
- Previous real estate administration experience is strongly preferred
- Experience working with a real estate brokerage, real estate team, or real estate office is an asset
- Knowledge of real estate forms, listing paperwork, transaction files, and basic brokerage processes is preferred
- Excellent communication and phone skills
- Strong attention to detail and ability to stay organized
- Comfortable using computers, CRM systems, email, and office software
- Ability to work independently and handle multiple tasks
- Customer service or sales experience is an asset
- Social media and basic marketing experience is an asset
