Overview
We are seeking a professional and organized Front Desk Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service while managing administrative tasks efficiently. This role requires strong communication skills, proficiency with office software, and the ability to handle multiple responsibilities in a fast-paced environment.
Please note: A minimum of 3 years of hands-on experience using ABELDent software is required for this position. Applications that do not meet this requirement will not be considered.
Duties
- Greet visitors and clients warmly, ensuring a positive first impression
- Manage multi-line phone systems, directing calls appropriately and taking detailed messages
- Schedule appointments and maintain calendars using Microsoft Office and Google Workspace tools
- Perform data entry and maintain accurate records using QuickBooks, ABELDent, and other office software
- Handle filing, document management, and general administrative support
- Assist with billing, bookkeeping, and basic financial record keeping
- Ensure the reception area remains tidy and organized
- Provide customer support by answering inquiries professionally and courteously
- Proofread documents for accuracy and clarity before distribution
- Support the team with clerical tasks such as photocopying, faxing, and mailing
Requirements
- Minimum 3 years of proven experience working with ABELDent software (mandatory)
- Proven experience in office administration or clerical roles, preferably in a dental office
- Strong computer skills with proficiency in Microsoft Office (Word, Excel), Google Workspace, QuickBooks, and ABELDent
- Excellent organizational skills with attention to detail and accuracy in data entry and proofreading
- Exceptional customer service skills with professional phone etiquette on multi-line systems
- Ability to handle multiple tasks efficiently in a busy environment
- Prior front desk experience in a dental office is highly desirable
- Good typing speed to support efficient data entry and correspondence
- Demonstrated organizational skills to manage schedules, files, and administrative duties effectively
