Overview
We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires strong communication skills, proficiency with office software, and the ability to manage multiple tasks efficiently in a fast-paced environment. Experience with medical or dental offices, QuickBooks, and Google Workspace is highly desirable. The Receptionist will play a vital role in maintaining smooth office operations and ensuring a positive experience for clients and staff alike.
Duties
- Greet visitors and clients warmly, ensuring a professional front desk presence
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments and maintain calendars using Microsoft Office and Google Workspace tools
- Perform data entry tasks accurately, including updating client records and filing documents
- Handle administrative tasks such as filing, photocopying, and organizing documents
- Assist with bookkeeping tasks using QuickBooks or similar software
- Provide customer support through email, phone, and in-person interactions with excellent phone etiquette
- Support office staff with clerical duties including proofreading, typing, and document preparation
- Maintain a clean and organized reception area to promote a welcoming environment
- Support medical or dental office operations as needed, including managing patient information and supporting front desk activities
Qualifications
- Proven experience in an office setting, preferably in medical or dental environments
- Strong computer skills with proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry software
- Experience with QuickBooks or bookkeeping is a plus
- Excellent organizational skills with the ability to manage multiple priorities effectively
- Exceptional customer service skills with professional phone etiquette
- Clerical experience including filing, proofreading, and administrative support
- Ability to handle multi-line phone systems efficiently and professionally
- Strong typing skills with attention to detail and accuracy
- Prior experience in medical or dental office settings is advantageous but not required
- High school diploma or equivalent; additional administrative training is preferred
