Duties:
Must be able to be assertive and manage multiple staff schedules/booking clients. Background in understanding mental health or how healthcare practices run and having "soft" people skills as well as organizational skills ideal.
- Provide administrative support to the office staff and management team
- Answer phone calls, take messages, and direct calls to appropriate individuals
- Greet and assist visitors, ensuring a positive and professional experience
- Schedule appointments and maintain calendars for office personnel
- Prepare and distribute correspondence, memos, and reports
- Maintain filing systems and ensure documents are organized and easily accessible
- Assist with data entry, record keeping, and maintaining office supplies inventory
- Coordinate meetings, conferences, and travel arrangements as needed
- Perform general clerical duties such as photocopying, scanning, and faxing
Qualifications:
- Proficiency in using Google Suite (Docs, Sheets, Slides) and other office software
- Previous experience working in a dental or medical office is preferred but not required
- Strong organizational skills with the ability to prioritize tasks and meet deadlines
- Excellent verbal and written communication skills
- Attention to detail and accuracy in all work tasks
- Ability to maintain confidentiality of sensitive information
- Strong problem-solving skills and ability to work independently or as part of a team
