Overview:
The Global IT Coordinator serves as a trusted partner to the CIO and Global IT Leadership Team, providing high-level executive support, project coordination, and operational oversight across a global technology organization.
This role is ideal for an experienced Executive Assistant, Senior Administrative Professional, or Project Coordinator who thrives in a fast-paced environment, enjoys bringing structure to complexity, and can independently manage competing priorities.
The successful candidate will be highly organized, proactive, detail-oriented, and confident working with senior leaders across multiple regions. They will act as a central point of coordination, helping ensure strategic initiatives, meetings, communications, and key deliverables move forward efficiently.
The base salary is aligned with market data and is estimated to range from $70,000-$76,000 with the ability to achieve additional compensation through a bonus. Within this range, individual pay is determined by work location and other factors, including relevant education/training, experience, and internal equity. This posting is for an existing vacancy within our organization.
Responsibilities:
Executive & Leadership Support

Act as a trusted partner to the CIO, helping manage priorities, schedules, communications, and follow-up actions.
- Coordinate executive meetings, leadership sessions, and strategic planning activities.
- Prepare agendas, briefing materials, presentations, reports, and executive communications.
- Track action items and ensure timely completion of commitments across the leadership team.
- Handle confidential and sensitive information with professionalism and discretion.
Project & Program Coordination

Coordinate strategic initiatives and special projects across global IT teams.
- Track project milestones, deliverables, timelines, and stakeholder updates.
- Facilitate communication and alignment between regional and functional teams.
- Identify risks, bottlenecks, or missed deadlines and proactively escalate where appropriate.
- Support planning and execution of leadership offsites, workshops, and organizational initiatives.
Operational Coordination

Maintain visibility into key departmental activities, priorities, and ongoing initiatives.
- Partner with Finance, HR, Security, and business stakeholders to support operational effectiveness.
- Assist with departmental planning, documentation, and process improvements.
- Organize and maintain important documentation, presentations, and leadership materials.
Communications & Reporting

Develop executive dashboards, status updates, and leadership reports.
- Draft communications, announcements, and presentations for internal audiences.
- Support preparation of materials for executive meetings, board presentations, and leadership reviews.
- Ensure information is communicated clearly and consistently across global teams.
Special Projects

Lead or support ad hoc initiatives on behalf of the CIO and leadership team.
- Conduct research, analysis, and information gathering to support decision-making.
- Drive process improvements and administrative efficiencies across the organization.
- Take ownership of projects from planning through execution with minimal supervision.
Qualifications:
- 5+ years of experience supporting senior executives, leadership teams, or complex business operations.
- Experience as an Executive Assistant, Senior Executive Coordinator, Project Coordinator, Operations Coordinator, or similar role.
- Exceptional organizational and time-management skills.
- Experience coordinating projects, programs, or strategic initiatives.
- Experience working within a global or matrixed organization.
- Strong written and verbal communication skills.
- Advanced proficiency in Microsoft Office (PowerPoint, Excel, Word, Outlook).
- Ability to manage multiple priorities independently in a fast-paced environment.
- Strong attention to detail and follow-through.
- Comfortable interacting with executive and C-suite stakeholders.
- Familiarity with project management tools and collaboration platforms.
