Job Summary
Barrie Minor Hockey Association is seeking a highly organized, mature, customer-focused, and detail-oriented Administrator to support the daily operations of our hockey association. This position serves as a primary point of contact for players, families, coaches, volunteers, and governing hockey organizations, ensuring the efficient administration of registration, rostering, and member services.
The ideal candidate will possess strong administrative skills, excellent customer service abilities, and experience working with hockey registration and rostering systems
Duties
- Registration & Membership Administration
- Manage player and team registrations through Hockey Canada-approved platforms.
Rostering & Team Administration
- Create and manage team rosters using Spordle and Sportsheadz systems.
- Ensure roster accuracy and compliance with governing body requirements.
- Support coaches and team officials with roster-related inquiries.
- Monitor deadlines and ensure all roster submissions are completed on time.
Hockey Governance & Compliance
- Liaise with the Ontario Minor Hockey Association (OMHA), Ontario Hockey Federation (OHF), Hockey Canada, and other governing bodies as required.
- Maintain compliance with registration, rostering, and certification requirements.
- Assist with player movement, affiliation requests, and eligibility matters.
Office Administration
- Answer telephone calls, emails, and walk-in inquiries professionally and promptly.
- Provide exceptional customer service to players, families, coaches, and volunteers.
- Manage general office duties including filing, record keeping, correspondence, and data entry.
- Prepare reports, spreadsheets, and documents as required.
- Maintain confidential records and sensitive member information.
- Other duties as required.
Communication & Support
- Monitor and respond to association email accounts.
- Assist with communication to members regarding registration, programs, deadlines, and organizational updates.
- Support tournaments, special events, and seasonal administrative projects.
- Collaborate with staff, volunteers, and board members to support association initiatives.
Qualifications & Skills
Required
- Minimum 2 years of administrative or office experience.
- Strong customer service and communication skills.
- Proficiency in Microsoft Office, including:
- Microsoft Excel
- Microsoft Word
- Microsoft Outlook
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy.
- Ability to manage multiple priorities in a fast-paced environment.
- Ability to work independently and as part of a team.
Preferred
- Experience with Spordle registration and rostering systems.
- Experience using Sportsheadz registration platforms.
- Knowledge of Hockey Canada registration processes.
- Familiarity with OMHA and OHF regulations and procedures.
- Experience working within a sports organization, minor hockey association, or non-profit environment.
