The BDC Coordinator / Office Administrator plays a key role in supporting the dealership’s sales operations by managing customer communications, handling inbound and outbound leads, and ensuring accurate and timely administrative processes. This position is critical in delivering a seamless customer experience while contributing to sales growth and operational efficiency.
Key Responsibilities
Customer Communication & Lead Management
Answer inbound calls and respond promptly to all customer inquiries, including web and phone leads.
Conduct follow-ups with prospective and existing customers via phone, email, and CRM platforms using dealership-approved templates.
Schedule appointments for the sales team and ensure proper lead handoff.
Maintain a high level of professionalism and customer service in all interactions.
CRM & Data Management
Accurately enter and update customer information, interactions, and follow-up activities in the CRM system.
Track lead progress and ensure timely follow-ups to maximize conversion rates.
Maintain organized and up-to-date records across all dealership systems.
Administrative Support
Provide day-to-day administrative support to the sales team to ensure smooth dealership operations.
Assist with licensing preparation and sales documentation.
Process customer payments using POS systems.
Handle general clerical duties including filing, data entry, and document management.
Marketing & Campaign Support
Participate in outbound marketing campaigns, including phone and email initiatives.
Support dealership promotions and customer outreach efforts.
Operational Support
Act as backup for front desk/greeter duties when required.
Assist in maintaining a clean, organized, and customer-friendly environment.
Collaborate with team members to ensure seamless daily operations.
Qualifications & Requirements
Previous experience in the automotive industry is considered an asset.
Strong verbal and written communication skills with a customer-focused approach.
Excellent interpersonal skills and confidence in handling customer interactions.
Strong organizational skills and attention to detail.
Proficiency with CRM systems and basic computer applications.
Ability to multitask and work in a fast-paced environment.
Ability to start immediately or within a short notice period is preferred.
Flexibility to work evenings and weekends (including Saturdays and Sundays) based on business needs.
