Overview
We are seeking a motivated and detail-oriented Entry-Level Executive Assistant to support the General Manager in a dynamic, fast-paced environment. This full-time role offers an excellent opportunity to develop administrative and organizational skills while gaining valuable experience in office operations. The ideal candidate will be proactive, highly organized, and possess strong communication skills to ensure smooth daily operations and effective support for executive functions.
Responsibilities
- Manage and maintain the General Manager’s calendar using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements.
- Handle incoming calls via multi-line phone systems with professional phone etiquette, directing inquiries appropriately.
- Perform data entry, filing, and document management tasks with accuracy using Microsoft Office tools and DocuSign for electronic signatures.
- Assist with bookkeeping tasks utilizing QuickBooks, including invoicing, expense tracking, and basic financial record keeping.
- Provide front desk support by greeting visitors, managing mail distribution, and supporting office reception duties.
- Proofread and review correspondence, reports, and other documents for accuracy and professionalism.
- Support administrative projects such as organizing files, preparing reports, and coordinating meetings to enhance office efficiency.
- Maintain confidentiality of sensitive information while providing exceptional customer service to internal teams and external clients.
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Experience with QuickBooks or similar bookkeeping software.
- Strong organizational skills with the ability to multitask effectively in a busy environment.
- Excellent typing speed and data entry accuracy.
- Knowledge of office procedures including filing systems, document proofreading, and front desk operations.
- Effective communication skills with professional phone etiquette across multi-line phone systems.
- Familiarity with calendar management tools such as Microsoft Outlook Calendar.
- Basic understanding of bookkeeping principles and customer service best practices.
- Ability to adapt quickly to new software tools like DocuSign and Office experience is preferred.

Pay: $50,103.66-$76,682.22 per year
