The Spa Coordinator supports the day-to-day guest experience and administrative operations of Spa by Valmont, ensuring a seamless, warm, and luxury-focused spa journey. This role is responsible for coordinating appointments, supporting guest flow, maintaining accurate spa bookings and billing, and assisting the Spa Manager and Spa leadership team with operational, administrative, and guest service needs in alignment with Forbes Five-Star expectations.

Key Responsibilities
1. Guest Experience Excellence
- Deliver a warm, personalized, and professional luxury experience from arrival to departure
- Welcome guests, assist with check-in/check-out, and support Spa by Valmont guest rituals
- Anticipate guest needs and ensure a smooth and elevated spa journey
- Respond to guest inquiries and concerns with professionalism, discretion, and care
2. Booking & Daily Coordination
- Manage spa appointments, treatment bookings, cancellations, and schedule adjustments
- Monitor daily spa flow and coordinate with therapists to support efficient service delivery
- Ensure guest profiles, preferences, and notes are accurate and updated in the spa system
- Support coordination of group bookings, VIP visits, and special guest arrangements
3. Operational Support
- Assist with opening and closing procedures, including checklists and daily readiness
- Maintain cleanliness, ambiance, and organization of reception, retail, and guest-facing areas
- Conduct regular checks of spa areas to ensure presentation and Forbes standards are maintained
- Support communication between spa reception, therapists, attendants, and leadership
4. Administrative & Financial Support
- Ensure accuracy in bookings, billing, payments, gift cards, and guest charges
- Support retail merchandising, product presentation, and inventory organization
- Assist with payroll, schedules, reports, and other administrative tasks as assigned
- Maintain organization of SOPs, forms, checklists, and operational tools
5. Team & Communication Support
- Communicate daily updates, guest notes, and operational priorities to the Spa Manager and team
- Support onboarding and training of new spa reception or coordinator team members when required
- Foster a professional, collaborative, and service-driven environment
- Undertake other ad hoc related responsibilities, as required
- Supports spa reception, guest coordination, bookings, and administrative follow-up
- Assists with maintaining service consistency and operational standards
Pay range: $24- $25.48
Qualifications:
- Hotel Management Degree or Industry-related Certificate, a strong asset
- 1-2 years’ experience in a similar capacity as a spa receptionist or administrative role
- Familiarity with operating, booking, and software systems
- Excellent administrative, interpersonal, organizational, written, and verbal communication skills
- First Aid and CPR a strong assets.
- Must be available to work evenings, weekends, and holidays
- Must be eligible to work in Canada
