We are seeking an experienced accounting systems and process improvement consultant to undertake a comprehensive review of our accounting operations and technology environment at The Parkside Hotel & Spa.
Please note: This is a temporary, consultant/contractor position. Compensation will be structured via independent consultant/contractor fees.
Background
We operate a strata hotel utilizing Opera PMS and Sage Accounting, managing hotel operations, a fractional owner rental program, and the accounting for a Group of 9 associated corporate entities. While our existing systems are functional, many accounting processes rely on manual intervention, resulting in inefficiencies throughout the accounting cycle.
The purpose of this engagement is twofold: One, to independently assess our current processes, identify opportunities to improve efficiency, strengthen internal controls, and maximize the capabilities of our existing technology platform before considering additional software investments. Two, to ensure that our processes are capturing current best accounting practices.
Project Objectives
The successful consultant will be expected to:
- Review and document the current accounting workflow from operational transactions through to financial reporting.
- Map the flow of financial data between Opera PMS, Sage Accounting, and other relevant systems.
- Identify manual processes, duplicate data entry, reconciliation issues, and system inefficiencies.
- Assess the owner accounting and payout process for individual fractional hotel owners and recommend opportunities to simplify and automate the workflow.
- Evaluate intercompany accounting processes across multiple related entities.
- Assess the effectiveness of current system integrations and recommend enhancements or automation opportunities.
- Review accounting controls, roles, responsibilities, and approval workflows.
- Develop recommendations for streamlined accounting processes that improve efficiency while maintaining appropriate financial controls.
- Provide a practical implementation roadmap outlining recommended process improvements, technology enhancements, priorities, estimated effort, and expected benefits.
Existing Environment
The review will include, but is not limited to:
- Opera Property Management System (PMS)
- Sage Accounting
- Strata owner rental accounting
- Approximately nine related corporate entities
- Existing accounting procedures and internal controls
Expected Deliverables
The consultant will provide:
- A current-state assessment of accounting processes and system integrations.
- Process maps documenting the flow of financial information.
- Identification of key inefficiencies, risks, and control gaps.
- Recommendations for workflow improvements and automation opportunities.
- Recommendations for improved system integration and data management.
- A future-state accounting process with clearly defined roles, responsibilities, and controls.
- A prioritized implementation roadmap, including quick wins and longer-term initiatives.
Consultant Experience
Interested consultants should demonstrate experience in:
- Hospitality accounting and hotel operations (preferred).
- Opera PMS and Sage Accounting (or similar hospitality and accounting systems).
- Accounting process improvement and workflow design.
- Financial systems integration.
- Internal controls and accounting best practices.
- Multi-entity and intercompany accounting.
- Change management and implementation planning.
