Job Overview
We are seeking a proactive, reliable, and detail-oriented Operations Representative to join our growing insurance car rental team. This role is essential to ensuring smooth day-to-day operations while delivering excellent customer service to clients, insurance partners, body shops, and towing companies.
The ideal candidate is professional, organized, comfortable working in a fast-paced environment, and available to answer calls when needed. This position is ideal for someone who enjoys logistics coordination, driving, customer interaction, and being part of a team-oriented environment.
Responsibilities
- Customer Service & Frontline Support
- Greet customers professionally and assist with rental processing
- Explain rental agreements, policies, and insurance rental procedures clearly
- Handle customer questions, concerns, and insurance-related inquiries professionally
- Provide excellent customer service during vehicle pick-ups and returns
- Maintain a clean and professional appearance at all times
- Operations & Dispatch
- Manage rental dispatch to ensure timely vehicle deliveries and pick-ups
- Coordinate with insurance adjusters, towing companies, body shops, and mechanic partners
- Assist with vehicle swaps, fleet movement, and operational logistics
- Be available on-call when required for urgent customer needs or dispatch support
- Monitor vehicle availability and assist in maintaining fleet organization
- Administration & Documentation
- Complete rental agreements, daily logs, and inventory checks accurately
- Maintain organized digital and paper records using multiple software systems
- Utilize dispatch apps, rental management software, spreadsheets, and digital forms efficiently
- Ensure operational paperwork and customer information are handled accurately and professionally
Requirements
- Valid Ontario G Class Driver’s License with a clean driving record
- Driver’s abstract required upon hiring
- Full-time availability with flexibility for evenings, weekends, and on-call situations
- Comfortable driving a variety of vehicles including sedans, SUVs, and minivans
- Strong communication and customer service skills
- Ability to multitask and work efficiently in a fast-paced environment
- Reliable, punctual, and professional attitude
- Must maintain a clean and professional appearance
Preferred Qualifications
- Experience in customer service, automotive, delivery, logistics, or rental operations is considered an asset
- Knowledge of insurance replacement rentals or body shop operations is an advantage
- Experience using multiple software systems and digital tools
