Job Summary
We are seeking a professional and organized Receptionist/Administration Assistant to join our team. Reporting to the Office Manger/Finance Manger this role is essential in providing excellent customer service, managing administrative tasks, and ensuring smooth daily operations within our office. The ideal candidate will be detail-oriented, proficient in office software, and capable of handling multiple responsibilities in a fast-paced environment. Experiance with project management software or ability to learn computer software with ease is essential.
Duties
- Take calls and book appointments providing exceptional customer service.
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately.
- Perform data entry and maintain accurate records using Microsoft Office, Service Titan, and QuickBooks.
- Handle clerical tasks such as filing, photocopying, scanning, and organizing documents.
- Schedule appointments and coordinate calendars for staff or practitioners.
- Support administrative functions including proofreading documents and preparing correspondence.
- Maintain a clean and organized reception area to ensure a professional environment.
- Provide customer support via phone or email, addressing inquiries efficiently and courteously.
- Social media and marketing experience an asset.
- Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Experience with QuickBooks or similar bookkeeping software.
- Strong computer skills with the ability to learn new software quickly.
- Excellent organizational skills with attention to detail.
- Effective phone etiquette and communication skills for front desk interactions.
- Ability to perform data entry accurately and efficiently with good typing speed.
- Clerical experience in an office setting preferred; experience in medical or dental offices is a plus.
- Knowledge of multi-line phone systems and customer service best practices.
- Ability to proofread documents for accuracy and professionalism.
- Strong organizational skills to manage multiple tasks simultaneously in a busy environment.
- Basic industry experience an asset.
