The Role
We are seeking an organized and detail-oriented Office Administrative Assistant to join our team on a contract basis, with the potential to transition into a full-time, permanent position. This role serves as a vital bridge between our dispatch and maintenance departments, focusing on maintaining accurate scheduling and ensuring seamless data integration between our primary platforms, Motive and Shop Monkey.
Key Responsibilities
- Dispatch Support: Assist the dispatch team with daily schedule input and updates, ensuring real-time accuracy.
- Platform Integration: Manage and monitor the data flow between Motive (ELD) and Shop Monkey (Shop Management) to ensure operational documents and schedules are current.
- Administrative Maintenance: Track, process, and file operational paperwork, ensuring data integrity across all digital platforms.
- Communication: Act as a key point of contact for routine office inquiries and collaborate with team members to streamline workflow processes.
What We’re Looking For
- Technical Proficiency: Comfortable navigating and troubleshooting digital platforms; experience with Motive and Shop Monkey is an asset.
- Analytical Mindset: Highly organized, detail-oriented, and capable of identifying and resolving data discrepancies.
- Communication Skills: A positive, patient communicator who can work effectively with diverse teams, including dispatch, mechanics, and management.
- Adaptability: Able to thrive in a fast-paced environment and assist with continuous process improvement.
- Tools: Proficient in Excel, Google Drive, and general online administrative software.
- Transportation: Valid driver's license and reliable means of transportation to and from work.
What We Offer
- Hours: 40 hours/week, with room for some flexibility.
- Compensation: $20 - $25/hour, depending on experience and training required, with pay increasing after training milestones.
