Key Responsibilities
Client Service & Relationship Support
- Serve as the first point of contact for clients by phone, email and in person
- Schedule and confirm client meetings and annual reviews
- Prepare meeting materials, reports and follow-up documentation
- Maintain accurate and up-to-date client records
- Support a professional and welcoming client experience
Administrative & Operational Support
- Manage calendars, appointments, and task tracking
- Process paperwork related to account openings, transfers, and account updates
- Coordinate document preparation and electronic filing
- Handle incoming and outgoing correspondence
- Assist with office coordination and general administrative tasks
Compliance and Documentation
- Ensure client files meet regulatory and internal compliance standards
- Assist with Know-Your Client updates and documentation
- Maintain strict confidentiality of client financial information
- Support compliance reviews and audits as required
Financial & Reporting Support
- Prepare bacsic reports and summaries for client meetings
- Assist with tracking client transactions and follow-ups
- Liase with internal teams and external partners including custodians and insurance providers
Qualifications
- 2+ years of experience in an administrative, client service or financial services roll
- Strong organizational skills and attention to detail
- Excellent verbal and written communication skills
- Ability to manage multiple priorities in a fast-paced environment
- Proficiencly with Microsoft Office and digital document management systems
- Experience within wealth management, insurance, banking or financial services is considered an asset
This position offers an opportunity to be a vital part of our team by ensuring efficient office operations while providing exceptional support to clients and staff.
Pay: $45,000.00-$55,000.00 per year
Work Location: In person
