Position Overview
We are looking for a highly organized, professional, and proactive Personal Assistant to support the Team Leader at a fast-paced used car dealership. This role requires strong communication skills, attention to detail, confidentiality, and the ability to multitask in a high-pressure sales environment.
The ideal candidate will assist with daily dealership operations, administrative duties, customer communication, scheduling, and coordination between departments while helping ensure smooth day-to-day workflow.
Key Responsibilities
Administrative & Office Support
- Manage the Team Leader’s daily schedule, appointments, and meetings
- Handle emails, phone calls, and customer inquiries professionally
- Organize and maintain files, documents, and dealership records
- Prepare reports, spreadsheets, and internal documents
- Assist with paperwork related to vehicle sales, financing, licensing, and deliveries
- Follow up on outstanding documents and customer information
Sales & Customer Support
- Assist sales staff with deal coordination and administrative support
- Communicate with customers regarding appointments, deliveries, and required documents
- Help maintain CRM systems and customer databases
- Coordinate vehicle pickup/drop-off schedules and delivery preparation
- Support customer satisfaction and retention efforts
- Assisting with vehicle sales and customer interaction is an expected part of this role
Operational Support
- Help coordinate with finance, service, and detailing departments
- Monitor task completion and assist in keeping dealership operations organized
- Assist in inventory tracking and basic vehicle listing management
- Support recruiting coordination, interview scheduling, and employee communication when needed
Personal Assistance Duties
- Assist the Team Leader with priority management and daily task organization
- Handle confidential information with professionalism and discretion
- Run occasional business-related errands if required
- Help ensure deadlines and operational targets are met
Qualifications & Requirements
- Previous administrative or dealership experience preferred
- Strong organizational and multitasking abilities
- Excellent verbal and written communication skills
- Professional appearance and attitude
- Ability to work in a fast-paced sales environment
- Strong computer skills (Microsoft Office, Google Workspace, CRM systems)
- Ability to maintain confidentiality and professionalism
- Experience in automotive sales or dealership operations is considered an asset
- Must be willing to obtain OMVIC certification during employment as a condition of continued employment
