Job Summary
We are seeking a detail-oriented and organized Accounts Assistant to support the financial operations of our hotel. The ideal candidate will assist with bookkeeping, account reconciliation, and financial data entry, ensuring accuracy and efficiency in all accounting processes. This role provides an excellent opportunity to work within a dynamic hospitality environment, utilizing various accounting software and tools to maintain precise financial records.
Key Responsibilities
Daily Accounting & Reconciliation
- Daily cash and cheque reconciliation
- Cash float verification and audits
- Daily revenue reconciliation between PMS/POS systems and accounting records
- Verify and reconcile credit card settlements and deposits
- Investigate and resolve discrepancies in revenues, payments, and cash balances
Banking & Cash Handling
- Prepare and coordinate weekly bank deposits
- Maintain proper records for all deposits and cash transactions
- Assist with monitoring cash controls and internal procedures
Accounts Payable & Accounts Receivable
- Process vendor invoices and employee reimbursements
- Match invoices with supporting documentation and approvals
- Prepare and process payments
- Follow up on outstanding receivables and customer balances
- Maintain organized AP and AR records
Payroll & Commissions
- Assist with payroll processing and payroll-related reconciliations
- Review employee timesheets and payroll reports for accuracy
- Reconcile travel agent and AV commission payments and supporting reports
Month-End & Reporting
- Assist with month-end closing procedures
- Prepare reconciliations and supporting schedules
- Support preparation of financial reports and working papers
- Coordinate with Head Office accounting team as required
Administrative & Operational Support
- Maintain filing systems and accounting records
- Communicate with hotel departments regarding financial discrepancies
- Assist with audits and internal reviews
- Ensure compliance with company policies and accounting procedures
Qualifications
- Minimum 2 years of accounting, bookkeeping, or hotel accounting experience preferred
- Experience in hospitality accounting is considered a strong asset
- Strong understanding of basic accounting principles
- Experience with AP, AR, reconciliations, and payroll processing
- Proficient in Microsoft Excel and accounting software
- Experience with hotel PMS systems is an asset
- Strong attention to detail and organizational skills
- Ability to manage multiple priorities and meet deadlines
- Professional communication skills and team-oriented attitude
Pay: $23.00-$24.00 per hour
