Event Sales & Office Coordinator
Pay: $22.00–$26.00 per hour, based on relevant experience
Hours: Approximately 40 hours per week.
Location: Based at our Mississauga office/ warehouse.
Ontario Inflatables and Event Rentals is one of Ontario’s leading event attraction and entertainment rental companies. Our extensive inventory includes bouncy castles, giant slides and obstacle courses, interactive and carnival games, water attractions, mechanical rides, mobile rock-climbing and zip-line attractions, trackless trains, a mobile laser maze, photo experiences, concession equipment and other event essentials.
We provide equipment and attractions for everything from private celebrations to large school fun fairs, corporate events, festivals and community events across Ontario.
Position Overview
We are seeking a personable, motivated and highly organized individual to join our growing team as an Event Sales & Office Coordinator.
This position manages the customer experience from the initial inquiry through booking and final event coordination while supporting the company’s day-to-day administrative operations. The ideal candidate enjoys helping customers, is confident recommending rental options and can manage numerous event details in a busy, fast-paced environment.
This is primarily an inbound sales and customer-service position.
Schedule:
- Full-time, Monday to Friday, 40 hours per week.
- Workdays and hours may vary weekly based on business demands.
- Availability to work a minimum of two additional Saturdays during peak season (May–September) is required.

Key Responsibilities
- Respond promptly and professionally to customer inquiries by telephone and email.
- Learn about each customer’s event and recommend suitable rentals, attractions and services.
- Enter, update and manage leads using the company’s booking and CRM software.
- Prepare accurate customer quotes, contracts and invoices.
- Follow up on inquiries and outstanding quotes to help convert leads into confirmed bookings.
- Assist customers in coordinating residential, school, corporate and community events.
- Confirm event details and communicate important information to the warehouse and operations teams.
- Manage booking changes, customer questions and event-related concerns.
- Communicate with vendors and other event partners when required.
- Maintain accurate customer, booking and payment records.
- Perform general administrative duties and maintain an organized, professional and well-supplied office.
Qualifications
- At least two years of relevant experience in office administration, customer service, sales, event coordination or a related position.
- Fluent written and spoken English is a mandatory requirement.
- Strong interpersonal skills and confidence communicating with customers by telephone and email.
- Excellent organization, accuracy and attention to detail.
- The ability to manage multiple customers, bookings and deadlines simultaneously.
- Strong computer skills, including experience with Apple/Mac products and Microsoft Word and Excel.
- Experience with CRM, booking or invoicing software is an asset.
- The ability to work independently, take initiative and follow management direction.
- A positive, professional and customer-focused approach.
- Availability to meet the position’s peak-season Saturday requirements.
- Must be willing to provide a Criminal Reference Check and Vulnerable Sector Screening upon hire.
