Position Overview
The Leasing & Tenant Services Assistant provides front-line support for Heron Management’s residential leasing operations. This position serves as an important first point of contact for prospective tenants and assists with the administrative processes associated with property leasing and tenant onboarding.
The role is responsible for responding to rental inquiries, scheduling and conducting property showings, maintaining prospect records, completing preliminary applicant screening activities, and assisting with lease preparation and related documentation. The Leasing & Tenant Services Assistant plays a key role in ensuring prospective tenants receive professional, responsive service while supporting efficient occupancy management across the Heron property portfolio.
Leasing & Prospect Support
- Respond to rental inquiries by phone, email, website, and social media.
- Provide information regarding available properties, rental rates, amenities, parking, utilities, and application requirements.
- Schedule and coordinate property showings.
- Maintain accurate prospect records and inquiry logs.
- Follow up with prospective tenants regarding applications and supporting documentation.
Property Showings
- Conduct property showings in a professional and courteous manner.
- Present available units and explain tenancy requirements.
- Coordinate property access, keys, lockboxes, and entry instructions.
- Record showing attendance, feedback, and prospect interest.
Applicant Screening & Lease Preparation
- Receive and review rental applications for completeness.
- Verify applicant information, employment details, income documentation, and landlord references.
- Conduct preliminary screening and background checks in accordance with company procedures.
- Prepare applicant information packages for management review.
- Assist with lease preparation and tenant onboarding documentation.
Administrative & Customer Service Support
- Provide reception and front-line customer service support.
- Maintain electronic leasing records and filing systems.
- Enter and update information within property management software and office systems.
- Prepare routine correspondence and leasing-related documentation.
- Support general administrative and operational activities as required.
Qualifications
- Minimum one year of experience in customer service, administration, leasing support, property management, real estate administration, or a related role.
- Strong verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Professional, customer-focused approach to dealing with tenants and applicants.
- Strong computer skills, including Microsoft Office and cloud-based software applications.
- Ability to work independently and manage multiple priorities.
- Valid Ontario Class G Driver’s Licence and reliable transportation.
