Job Overview
We are seeking a dedicated and personable Customer Service Representative (CSR) to join our team. The ideal candidate will serve as the first point of contact for our customers, providing exceptional service through various communication channels. The CSR requires strong communication skills and will play a vital role in maintaining customer satisfaction, supporting customers, processing orders, answering inquiries, and helping ensure customers receive timely, professional and efficient service.
Duties
- Answer incoming customer calls, emails, and online inquires in a professional and helpful manner.
- Take customer orders for fuel deliveries and enter information accurately into company systems
- Provide customers with information about products, services, delivery timelines, and account details
- Support customers with billing questions, payment processing, account updates, and general inquires
- Communicate with dispatch, drivers and internal teams to help ensure smooth and timely deliveries
- Support the Dispatcher as required, including acting in the dispatch role during lunch breaks, sick time, vacation coverage, or other absences
- Assist with scheduling delivery requests and updating customers on delivery status when needed
- Resolve customer concerns or complaints with patience, professionalism and a solution-focused approach
- Maintain accurate customer records, order details, and service notes
- Follow company policies, safely procedures and privacy standards when handling customer informaton
- Provide administrative support to the office and operations team as required
Skills
- Excellent communication skills, including phone etiquette and active listening abilities.
- Previous customer service experience, preferably in an office, call centre, fuel service or logistics environment
- Strong problem-solving skills and the ability to remain calm under pressure
- Ability to handle multiple tasks efficiently in a fast-paced environment while maintaining professionalism.
- High attention to detail and accuracy with data entry
- Comfortable using basic computer applications, email, and customer management systems
- Positive attitude, dependable work ethic and willingness to support the team
- Ability to build strong customer relationships and provide excellent service
Working Conditions
- Office-based role with frequent phone and email communication
- Fast-paced environment with changing priorities, especially during peak seasons or inclement weather
- Regular coordination with dispatch, drivers, customers and internal teams
- Occasional requirement to follow PPE and safety protocols when entering operational areas
