Job Overview
The Executive Assistant provides day to day administrative and organizational support to the CEO, the Board of Directors and Senior Management Team. This position supports and assists senior management with the effective running of their specific portfolios. Responsible for the effective and efficient day-to-day functioning of the corporate office.
Responsibilities
- Provides exemplary leadership and support to the CEO and Senior Management team using a customer service approach and best practices.
- Responsible for the CEO’s and Board of Director’s administrative and organizational needs and administrative support to the management team.
- Supports physicians including coordinating on-call and IDC schedules.
- Organizes and maintains appropriate filing systems for the Executive office.
- With limited direction, coordinates and supports Committees and Task Force activities (e.g. Board, OH&S) including attending all meetings (evenings and early mornings) to act as recorder and preparing minutes.
- Organizes, maintains and completes the analysis of specific reports.
- Effectively manages the schedule of the CEO and follows up as required.
- Creates and prepares complex documents, presentations and reports using a variety of software programs.
- Develops and manages schedules around specific projects to ensure projects are on track
- Participates as a member of and contributes to committees in the organization.
- Provides telephone and reception relief when needed.
Skills
- Post secondary degree or diploma or the equivalent combination of education and experience
- Minimum 3-5 years related office managerial or equivalent office experience.
- Computer literacy with thorough knowledge of MS-Word, Excel, PowerPoint, Access and Publisher
- Experience in use of office and IT equipment.
- Knowledge and experience with organizing online meetings using different platforms, etc.
- Ability to prioritize work and to work independently, with minimal direction.
- Excellent interpersonal, problem solving, conflict resolution and critical thinking skills
- Fluent in oral and written English. Knowledge of the Ukrainian culture and language is an asset
- Governance experience (working with a board of directors) is considered an asset.

Pay: From $23.00 per hour
