Reporting to the Head of Facilities, the HVAC Maintenance Coordinator is responsible for coordinating and managing maintenance and service activities for HVAC and building systems. This role oversees service scheduling, dispatching, and vendor performance while ensuring effective communication between clients, service technicians, and internal stakeholders. The HVAC Maintenance Coordinator plays a key role in ensuring maintenance requests are addressed promptly, service standards are met, and building systems operate efficiently and reliably.
Key Responsibilities Include:
- Manage and coordinate client projects, working closely with clients' facilities, maintenance, and construction departments while overseeing trades to ensure projects are completed on schedule and within budget.
- Manage and coordinate daily service requests across a national retail portfolio, ensuring maintenance and repair work is completed in accordance with service level agreements.
- Dispatch, schedule, and coordinate trades, service technicians, and subcontractors across multiple disciplines including HVAC, refrigeration, electrical, plumbing, fire and life safety systems, and general maintenance.
- Create detailed work orders, scopes of work, and service requests for trades and technicians.
- Review service reports and diagnose maintenance issues to determine appropriate corrective actions and vendor requirements.
- Communicate and follow up with store staff, vendors, and clients to ensure work is completed satisfactorily and deficiencies are addressed promptly.
- Prepare, review, and submit repair and project estimates for client approval.
- Review vendor quotations, invoices, and supporting documentation for accuracy and process for payment.
- Monitor project and service costs, ensuring adherence to budgets and identifying cost-saving opportunities.
- Generate and provide weekly, monthly, and ad hoc status reports to clients.
- Source, qualify, and onboard new service vendors and trades across Canada.
- Ensure compliance with applicable building codes, safety regulations, client standards, and preventative maintenance requirements.
- Coordinate emergency service requests and after-hours dispatch activities as required.
Role Requirements:
- Post-secondary education in Facilities Management, Building Systems, HVAC Technology, or a related field is considered an asset.
- Minimum 3-5 years of experience in facilities maintenance, service coordination, HVAC operations, property management, construction project coordination, or a related field.
- Working knowledge of commercial HVAC systems including rooftop units (RTUs), split systems, make-up air units (MAUs), exhaust systems, boilers, chillers, pumps, controls, and building automation systems (BAS).
- Ability to interpret HVAC service reports, maintenance recommendations, quotations, and technical documentation.
- Understanding of preventative maintenance programs and building systems lifecycle management.
- Experience coordinating multiple trades including HVAC, refrigeration, electrical, plumbing, fire alarm, sprinkler, and general contracting services.
- Technical proficiency in Microsoft Office Suite (Excel, Word, Outlook) and computerized maintenance management systems (CMMS), work order platforms, or CRM software.
- Strong analytical and troubleshooting skills with the ability to assess service issues and determine appropriate corrective actions.
- Valid Driver's License.

- Strong organizational and time management skills with the ability to prioritize multiple projects and service requests simultaneously.

- Sound critical thinking skills and proven ability to exercise good judgment when evaluating maintenance issues, vendor recommendations, and project requirements.
Preferred Qualifications:
- Experience supporting national retail, commercial, or multi-site facility portfolios.
- Knowledge of HVAC preventative maintenance standards, energy management practices, and building operations.
- Experience reviewing HVAC proposals, repair recommendations, and capital replacement projects.

Pay: $25.00-$27.00 per hour
