THE ROLE
The Events and Groups Assistant Sales Manager will support the sales team by taking on both administrative and sales-related responsibilities. This role bridges event coordination and sales, playing a crucial role in driving revenue, managing client relationships, and ensuring seamless event execution. The ideal candidate is highly organized, customer-focused, and motivated to contribute to business growth while maintaining exceptional event experiences.
Reports to: Global Director of Event and Group Sales
KEY RESPONSIBILITIES
- Support the sales team in prospecting, qualifying leads, and managing client inquiries.
- Assist in generating proposals, contracts, and event orders in line with client needs and company standards.
- Conduct follow-ups with prospective and existing clients to secure bookings and build long-term relationships.
- Represent the company at networking events, trade shows, and client meetings to promote event offerings.
- Maintain and update CRM databases with client interactions, sales progress, and event details.
- Assist in upselling and cross-selling additional event services, upgrades, and packages to maximize revenue.
- Partner with the sales team to execute pre-event planning, including documentation preparation, site visits, and vendor coordination.
- Serve as a point of contact for clients during the planning process, ensuring a smooth transition from sales to event execution.
- Collaborate with internal teams (operations, AV, marketing) to ensure seamless event delivery.
- Oversee event setup, troubleshoot issues, and ensure client satisfaction during onsite events.
- Manage event post-work, including invoicing, feedback collection, and reporting to assess event success.
- Maintain organized event calendars, booking schedules, and sales pipelines.
- Assist in developing sales presentations and marketing materials for prospective clients.
- Keep accurate inventory counts of event-related supplies and materials.
- Support the team with administrative duties, including maintaining records, coordinating meetings, and preparing reports.
WORK ENVIRONMENT
- Occasional work outdoors may be required.
- During the course of regular shifts or during special events, Team Members at times may experience prolonged exposure to the following: flashing light sources that may rapidly change in intensity, effects that would undermine normal visual perception, loud music and sound effects, vibrations from audio and haptic systems, manufactured scents, and smoke and fog effects.
QUALIFICATIONS
- Minimum 1 year of experience in event coordination, hospitality, or a similar administrative role.
- Excellent organizational and multitasking skills, with attention to detail.
- Strong communication skills, both written and verbal.
- Ability to work flexible hours, including evenings, holidays, and weekends, as required by event schedules.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and event management software.
- Ability to thrive in a fast-paced, team-oriented environment.
- Must have strong leadership skills
- Must be positive/solution oriented.
- Ability to prioritize, manage multiple projects and effectively perform within tight time constraints.
- Ability to deliver gracious hospitality, excellent customer service and work with a variety of personalities
- Must be able to sit and/or stand for extended periods of time
- Must be able to move quickly through work and set the pace in the office
- Must be able to push and lift up to 25 lbs
Preferred Qualifications:
- Experience in a venue or attraction setting is an asset.
- Degree in Hospitality Management or similar.
- Knowledge of event management platforms or CRM systems (Tripleseat and Social Tables).
