The HF Events Director is responsible for leading the coordination and delivery of event, rental, and member experience operations within the Health & Fitness Centre, supporting facility utilization, client satisfaction, and revenue objectives. The role provides day-to-day leadership to staff, fosters relationships with clients, community partners, and internal stakeholders, and supports the effective planning and administration of event and rental services. Working collaboratively across departments, the position helps ensure safe, efficient, and high-quality experiences while contributing to departmental goals and community engagement. Through a balance of operational leadership, coordination, and service excellence, the role plays an important part in enhancing member experience and supporting the YMCA's mission.
In this role, you will:
- Supervise and provide leadership to program staff, including recruitment and selection, training and development, and performance management; support and coach Supervisors in staff scheduling, development, and performance management of part-time staff to ensure high-quality service delivery across all adult program areas.
- Collaborate with internal and external clients to ensure safe, inclusive, and well-organized experiences that promote community engagement and active living in alignment with YMCA values.
- Collaborate with facility and program teams to ensure alignment across all Health & Fitness programming and member experience initiatives.
- Represent the organization and its interests by participating in external meetings with associations such as the Yonge Business Association.
- Develop and implement client surveys to gather feedback on room rentals and use insights to enhance services.
- Manage the booking process from confirmation through deposit collection in accordance with established procedures and collaborate with colleagues to meet sales targets.
- Coordinate the scheduling of room rentals to ensure organized and efficient use of spaces.
- Research, select, and manage relationships with venues, caterers, decorators, entertainment providers, and other event service partners.
- Lead the development and updating of marketing materials, promotional items, and website content, including virtual tours and pricing updates.
- Maintain accounts receivable processes, including processing payments, tracking deposits, entering client data, and preparing sales contracts.
- Oversee the purchasing and maintenance of audio-visual equipment and furniture for new and existing rental spaces.
- Lead the operation and monitoring of the Building Automation System (BAS).
- Ensure programs and services are delivered to a high standard and meet YMCA expectations; conduct regular observations, evaluations, and self-audits using YMCA tools.
- Provide direct leadership across a variety of program areas by modeling effective service delivery and building relationships with members.
- Support the staff team in the Service Leader role by promoting positive member experiences using the Y Way framework, fostering relationships with participants and families, and responding to feedback.
- Monitor program and rental budgets in collaboration with the General Manager, track revenue and expenses, prepare financial information and reports, and support the achievement of departmental financial goals in alignment with the Y Way service framework.
- Prepare event spaces for use, including setting up tables, chairs, and equipment, and liaise with maintenance staff to ensure rooms meet client specifications.

You bring:
- Post-secondary education in Event Management, Hospitality, Public Relations, or a related field, or equivalent experience.
- Minimum of three years of progressively responsible experience in a supervisory role with event coordination, hospitality, or corporate event planning, demonstrating strong leadership skills to motivate, coach, and develop staff and volunteers while recognizing and appreciating contributions.
- Experience developing and leading event management software implementations, and virtual event platforms.
- Proficiency in computer applications, with excellent organizational and time management skills, attention to detail, and willingness to learn new programs.
- Ability to manage multiple projects simultaneously and meet strict deadlines.
- Strong interpersonal and communication skills, with the ability to establish rapport with members, staff, and volunteers from diverse backgrounds.
- Excellent written communication skills for dealing with clients, vendors, and internal teams.
- Calm demeanor under pressure, with the ability to troubleshoot last-minute issues.
- Ability to work flexible hours, including days, evenings, weekends and holidays.
- Excellent understanding of diversity, equity, inclusion and belonging, including the ability to identify and address barriers, work effectively with diverse stakeholders, and integrate equity into program design.
