Position Overview
The Property Administrator plays a key role in supporting the day-to-day operations of a residential property portfolio. This position is responsible for assisting with resident relations, administrative coordination, financial tracking, and maintenance support to help ensure smooth operations and a high standard of service across the portfolio.
Key Responsibilities
- Prepare, track, and manage resident correspondence, including notices, memos, rent reminders, and general communications.
- Maintain accurate resident and property files (electronic and paper), including leases, amendments, insurance certificates, service contracts, and other documentation.
- Respond promptly and professionally to resident inquiries and coordinate with Property Managers to ensure timely resolution of issues.
- Process resident move-in and move-out documentation and coordinate keys, access devices, welcome packages, and related communications.
- Coordinate and track maintenance requests and follow up with vendors, contractors, and onsite staff as required.
- Review, code, and track vendor invoices for approval in accordance with property budgets and procedures.
- Assist with preparing budgets, tracking expenses, and maintaining financial and operational records.
- Support monthly reporting by gathering operational updates, tracking arrears, and updating occupancy and vacancy information.
- Maintain and track insurance certificates and other compliance-related documentation.
- Assist with drafting resident communications and maintaining organized administrative records and tracking logs.
- Provide general administrative support to the Property Management team and assist with special projects as needed.
Qualifications
- 2–4 years of experience in property administration, residential property management, or a related administrative role preferred.
- Strong organizational and administrative skills with the ability to manage multiple priorities in a fast-paced environment.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook); familiarity with property management systems such as Yardi or MRI is considered an asset.
- Strong attention to detail and ability to work both independently and collaboratively.
- Professional and customer-service-oriented approach when interacting with residents, vendors, and team members.

Pay: $45,000.00-$55,000.00 per year
