The Office Administrator supports the day-to-day administrative operations of the company while ensuring professional coordination between office personnel, project teams, field operations, vendors, and clients. This role plays a critical part in maintaining organizational efficiency, supporting project administration requirements, coordinating documentation, assisting with workforce onboarding, and ensuring administrative systems are maintained accurately and professionally.
The Office Administrator works closely with operations, accounting, project management, HSE, and field supervision teams to support industrial construction and mining projects in fast-paced and deadline-driven environments.
This position requires strong communication skills, professionalism, attention to detail, confidentiality, and the ability to manage multiple priorities simultaneously.
Administrative & Office Coordination
Provide daily administrative support to operations, project management, and corporate leadership teams.
Coordinate incoming email inquiries, visitors, and office communications professionally.
Coordinate meetings, orientations, conferences, staff events, and corporate functions.
Manage boardrooms and meeting spaces to ensure they are clean, organized, and prepared for internal and client meetings.
Order and maintain office supplies, office equipment, and operational materials for office and site staff.
Collect, sort, distribute, and prepare incoming and outgoing mail, courier packages, and shipments.
Manage administration of the office key fob/access system.
Documentation & Records Management
Prepare and maintain project documentation, reports, spreadsheets, meeting minutes, presentations, agendas, and meeting materials.
Maintain filing systems for project records, employee documentation, contracts, operational records, and confidential digital documentation.
Support project managers, superintendents, project coordinators, and site administrators with document control, subcontractor administration, administrative coordination, and site supply support.
Assist with development, formatting, implementation, and maintenance of company policies, procedures, and standard operating procedures (SOPs).
Workforce & Project Support
Assist with onboarding and mobilization of field personnel, including tracking safety certifications, training records, employee setup requirements, and workforce documentation.
Support workforce scheduling, travel coordination, accommodations, and logistics for remote personnel and employees mobilizing to project sites.
Assist with coordinating IT equipment, office equipment, technology requests, and supply requirements for office and site personnel.
Finance Support
Assist accounting and payroll departments with timesheet collection, invoice processing, and expense tracking.
Manage and complete company credit card reconciliations in a timely manner.
Communications & Digital Presence
General
Other duties as assigned.
3–7 years of administrative experience in industrial construction, mining, manufacturing, or related industries preferred
Post-secondary education in Office Administration, Business Administration, or a related field considered an asset
Strong proficiency in Microsoft Office Suite, including Word, Excel, Outlook, Teams, and PowerPoint
Experience managing social media platforms and website content, or related digital communications skills, considered an asset
Strong organizational skills with the ability to manage multiple priorities and deadlines
Excellent written and verbal communication skills
Professional interpersonal skills with the ability to work effectively with field personnel, management, clients, and vendors
Ability to maintain confidentiality and professionalism at all times
