The Building Manager (“BM”) is responsible for the day-to-day operations, maintenance, security, and community well-being of the strata corporation. The BM will act as the on-site representative of the Strata Manager and Council, ensuring that the property is operated to the highest standard and that owners and residents receive professional, timely service. The position is for a PM shift starting at 4 pm and finishing at midnight, Monday to Friday.
1. Communication & Reporting
1.1 Maintain a detailed daily log of all building activities, issues, and actions taken.
1.2 Maintain constant communication the Strata Manager and Council, including photos and “who, what, when, where, why, how” details. Provide incident reports as needed for major issues.
1.3 Communicate promptly with the Strata Manager regarding emergencies, recurring issues, or matters requiring Council direction.
1.4 Attend meetings with trades, inspectors, and service providers, ensuring Council’s instructions are carried out effectively.
2. Operations & Vendor Management
2.1 Conduct daily inspections of all common areas, amenities, and building systems.
2.2 Assist Strata Manager to obtain quotes for services, negotiate pricing, and prepare comparative reports for Council/Strata Manager review.
2.3 Oversee and coordinate work by trades and service providers, verifying quality of work and ensuring building security during service visits.
2.4 Maintain building plans, manuals, and critical records in good order.
2.5 Oversee and supervise janitorial staff, ensuring cleaning standards are consistently maintained.
2.6 Manage amenity bookings, move-in/move-out coordination, and supervise use of shared facilities.
2.7 Exercise authority to approve expenditures up to a dollar limit set by Council, with full documentation provided.
3. Bylaw Compliance & Resident Relations
3.1 Serve as the first point of contact for bylaw violations (e.g., smoking, noise, improper use of common property).
3.2 Post notices, issue friendly reminders and provide Strata Manager with data to support issuance of formal warnings in accordance with Council policy.
3.3 Exercise discretion in handling minor violations; escalate repeated or serious cases to the Strata Manager and Council for further action.
3.4 Assist in informal dispute resolution among residents by mediating where possible.
3.5 Maintain professionalism, confidentiality, and discretion at all times when dealing with residents and owners.
4. Maintenance & Housekeeping
4.1 Ensure building cleanliness and upkeep, coordinating janitorial staff and conducting regular quality checks. Backup janitorial staff when urgently required.
4.2 Monitor and maintain lighting, waste management, recycling, stairwells, parkade, fitness facility, amenity rooms, lobby, bike rooms, and other common areas.
4.3 Ensure all building systems (elevators, HVAC, fire safety equipment, etc.) are maintained in good working order by coordinating service providers.
4.4 Develop preventative maintenance schedules and make recommendations to Council for long-term upkeep.
4.5 Ensure storage rooms, mechanical spaces, and parkades are kept clear of inappropriate items.
5. Security & Access Control
5.1 Manage building access systems, including issuing, logging, and cancelling fobs/keys.
5.2 Monitor cameras and security systems as required.
5.3 Address unauthorized parking and coordinate vehicle removals when necessary.
5.4 Support enforcement of building security policies and educate residents where necessary.
6. Emergency & Risk Management
6.1 Respond to emergency situations during scheduled hours and liaise with first responders.
6.2 Develop and maintain emergency procedures (gas shut-off, water shut-off, electrical shut-off, boiler shutdown, etc.).
6.3 Coordinate response to insurance claims, working with adjusters, contractors, and the Strata Manager to ensure prompt resolution.
6.4 Report safety hazards immediately and take appropriate steps to mitigate risks.
7. Council & Strata Manager Support
7.1 Act as Council’s on-site representative to ensure building decisions are implemented.
7.2 Prepare incident summaries, violation logs, and maintenance updates for inclusion in Council meeting packages.
7.3 Provide recommendations to Council for improving efficiency, security, and resident satisfaction.
7.4 Build positive relationships with residents to foster a sense of community and cooperation.
8. General Duties
8.1 Perform any other duties consistent with the role of Building Manager as may be reasonably assigned by the Strata Manager or Council.
8.2 Continuously look for opportunities to improve building operations, cost efficiency, and quality of life for residents.
Pay: $50,000.00-$60,000.00 per year
