Overview
This role provides essential accounting services to RAE by processing and recording everyday transactions with the objective of safeguarding the organization’s financial resources by supporting the completeness and accuracy of financial transactions and investigating and resolving issues/discrepancies. The role also contributes to maintaining the integrity of the association through the credibility and timeliness of responses to members’ accounting-related inquiries and requests.

Key internal relationships:Controller, Senior Accountant, Department staff, Leadership Team and Executive Assistant.
Key external relationships:RAE Members, Brokers, Associates, and Vendors.
Responsibilities
Accounts Receivable:
- Prepare and issue member invoices and receipts.
- Monitor accounts receivable and follow up on outstanding balances.
- Assist in processing payments received by the Hub Department.
- Regular A/R aging report review and follow-up of overdue accounts, including restricting system access to overdue accounts and granting access upon payment receipt.
General Ledger Maintenance:
- Record journal entries and assist with month-end closing activities.
- Support the preparation of financial statements and reports.
Banking & Reconciliation:
- Assist in preparation and recording of bank deposits.
- Prepare deposit slips.
Membership Billing Support:
- Coordinate and support billing cycles for membership dues and renewals.
- Assist in manual charges of credit cards that are on file for MLS® invoices.
- Assist preparation monthly MLS® billing
- Application of open credits to outstanding accounts.
- Respond to member inquiries related to payments and account status.
- Respond to members/brokerages regarding accounting- related inquiries and requests.
- Collaborate with the membership team to ensure accurate records.
Audit & Compliance Support
- Assist with preparation for annual audits and financial reviews.
- Ensure compliance with internal controls and financial policies.
Administrative & Cross-Functional Support
- Maintain digital and physical filing systems for financial records.
- Provide administrative support to the finance team as needed.
- Support the annual audit process and initiatives by retrieving information and documents upon request.
- Assist with the yearly budget forecast

Requirements
- Diploma or certificate in Accounting, Finance, or related field
- 2+ years of experience in an accounting or bookkeeping role
- Proficient in Accounting software, Microsoft Suite, including SharePoint and Teams.
- Knowledge of financial management systems and software, including CRM, and e-commerce platforms considered an asset.
- Strong Excel and data entry skills
- Knowledge of nonprofit or membership-based financial practices is an asset
- Excellent attention to detail and organizational skills
- Strong communication and interpersonal abilities
- Ability to handle confidential information with discretion
- Knowledge of the Real Estate industry and its dynamics in Alberta is an asset.
- Previous experience working in a Non-Profit or Association setting is an asset.
