Key Responsibilities:Front Desk & Office Management
- Greet and assist clients in person and over the phone, creating a welcoming environment.
- Maintain office cleanliness, organization, and overall presentation.
- Manage office inventory - order, restock, and organize supplies as needed.
- Oversee client intake and documentation.
- Plan and coordinate office events, meetings, and community initiatives (e.g., fundraisers, sponsorships, grand openings etc).
Phones & Client Coordination
- Manage inbound and outbound calls; handle voicemail messages promptly.
- Schedule client appointments and follow up as required.
- Call anniversary and high-interest-rate clients to schedule reviews or updates.
- Coordinate bookings for agents and team members.
Media & Marketing Support
- Assist with social media management - posting, responding to messages, and engaging with followers.
- Help organize and schedule content creation, including podcasts and photoshoots.
- Manage Google Business; respond to online reviews.
- Coordinate ordering and design of signage, business cards, and branded merchandise.
- Troubleshoot minor technical or marketing-related issues as needed.
Creative & Administrative Projects
- Design and edit materials in Canva (logos, templates, forms, business cards, signage, etc.).
- Create and update client intake forms and other internal documents.
- Support marketing and brand consistency across all channels.
Administrative Support for Management
- Completing compliance and documentation requirements on sensitive timelines.
- Manage invoices, payments, and other administrative tasks as requested by management.
- Keeping Files and associated tasks up to date on a daily basis.
Minimum Requirements
- Full-time, in-office availability — this role is not remote.
- Reliable transportation is required.
- 1–2 years of experience in a receptionist, administrative, or office support role (experience in real estate, finance, or mortgage industry is preffered).
- Strong communication skills — professional, friendly, and confident when speaking with clients. Strong english is
- Exceptional organization and time management -able to manage multiple priorities and meet deadlines.
- Proven multitasking ability — comfortable handling calls, scheduling, and administrative duties simultaneously.
- Proficient with Apple MAC computer skills, technology and CRM requirements, as well as office software (Microsoft Office, Canva, Zoom, etc.).
- Social media savvy — familiar with platforms like Facebook, Instagram, and LinkedIn.
- Positive, proactive attitude with the ability to work independently and as part of a team.
Job Type: Full-time
Pay: $20.00-$25.00 per hour
