Job Summary
We are seeking a detail-oriented and proactive Administrative Assistant (Purchasing) to support our procurement and supply chain operations. This role is essential in managing vendor relationships, processing purchase orders, and ensuring the timely procurement of materials. The ideal candidate will have experience with ERP systems such as SAP, a solid understanding of manufacturing processes, and strong negotiation skills to optimize sourcing strategies. This position offers an opportunity to contribute to the efficiency of our procurement functions within a dynamic manufacturing environment.
Responsibilities
- Answer phone calls and emails in a professional manner
- Process invoices, orders, and other office documents
- Perform accurate data entry in the company system/ERP
- Assist with preparing and placing purchase orders with suppliers
- Communicate with suppliers regarding orders, pricing, availability, and delivery timelines
- Coordinate with the warehouse regarding incoming and outgoing orders
- Assist with paperwork, filing, and document organization
- Provide occasional customer service support when needed
- Check orders, documents, or product information in the warehouse when required
- Support daily office operations and assist the team with administrative tasks
Requirements
- Minimum 2 years of experience in a similar office, administrative, purchasing, or order-processing role
- Strong communication skills in English and Polish are required
- Ukrainian and/or Russian language skills are an asset
- Good computer skills, including Microsoft Excel, Word, Outlook, and ERP systems
- Strong attention to detail and accuracy
- Ability to multitask and stay organized
- Reliable, punctual, and responsible
- Fast learner with a positive attitude
- Comfortable communicating with suppliers, customers, warehouse staff, and office team members
- Ability to work independently and as part of a team
