The Senior Office Administrator is a highly visible position responsible for ensuring the smooth day-to-day operation of the office while providing executive-level administrative support across multiple business functions. This role is ideal for someone who thrives in a diverse environment, enjoys balancing a wide variety of responsibilities, and takes pride in creating efficient systems and exceptional experiences for both internal stakeholders and external visitors.
Beyond traditional administration, this position requires someone who is exceptionally tech savvy and comfortable learning new software, supporting office technology, troubleshooting common technical issues, and helping improve business processes through technology. Success in this role comes from anticipating needs, staying organized, and confidently managing competing priorities with professionalism and discretion.
Duties and Responsibilities:
The key job functions are:
- Provide executive and administrative support to senior leadership and cross-functional business teams.
- Prepare, edit, format, and distribute professional correspondence, reports, presentations, and business documentation.
- Coordinate meetings by managing calendars, scheduling attendees, preparing agendas, recording meeting minutes, and following up on action items.
- Arrange corporate travel, accommodations, and itineraries as required.
- Conduct research, compile information, and prepare reports to support business initiatives and decision-making.
- Maintain accurate electronic and physical filing systems while ensuring document retention and confidentiality standards are met.
- Oversee day-to-day office operations to maintain a professional, organized, and welcoming workplace.
- Coordinate office vendors, maintenance providers, workplace supplies, catering, and facility requirements.
- Maintain shared calendars, organizational documents, and internal administrative resources.
- Welcome visitors, manage reception responsibilities, and provide exceptional customer service to clients, consultants, and guests.
- Process incoming and outgoing mail, courier deliveries, and general office communications.
- Prepare and reconcile employee expense reports while supporting general business administration activities.
- Assist with administrative process improvements, documentation, and internal procedures.
- Support office technology by assisting with computer equipment setup, user onboarding, password management, wireless network (Wi-Fi) connectivity, virtual private network (VPN) access, and basic troubleshooting.
- Maintain inventory records for office technology, equipment, and related assets.
- Assist with maintaining website content and other digital business resources as required.
Education:
- Post-secondary education in Business Administration, Office Administration, or a related discipline is considered an asset.
- Additional education or training related to technology, office systems, or business administration is considered beneficial.
Qualifications:
- Advanced proficiency with Microsoft Office Suite, including Microsoft Word, Excel, Outlook, PowerPoint, Teams, and SharePoint.
- Comfortable learning new technologies, business applications, and digital collaboration tools.
- Strong understanding of modern office technology and administrative best practices.
- Experience using cloud-based file management and collaboration platforms is considered an asset.
- Experience supporting website content or content management systems (CMS) is considered an asset.
- Demonstrated ability to maintain strict confidentiality while exercising sound judgment and professionalism.
Experience:
- Minimum five (5) years of progressive experience in Office Administration, Executive Administration, Executive Support, or Office Management.
- Previous experience providing basic technology support or coordinating office technology is required.

Base Salary: $65,000-75,000 per year
- Salary will be commensurate with experience and qualifications.

Work Hours:
- 32 hours per week (4 days).
- Monday to Thursday, with flexibility in start times (between 7:30 AM and 9:00 AM).
- Core working hours are 9:00 AM to 3:00 PM.
- Occasional availability on Fridays may be required during peak periods.
