OPPORTUNITY
Pals Locates Inc. is seeking a part-time Administrative Assistant to join our growing Edmonton-based company. This position requires 4 hours of work per day, Monday through Friday. As our company continues to grow, there may be an opportunity for this role to transition into a full-time position in the future.
Reporting to the Locates Manager, the Administrative Assistant will play a key role in supporting daily operations by managing inbound quote requests, coordinating job setups, and assisting with billing administration. The successful candidate will contribute to the efficient delivery of services while supporting the continued growth of the company.
RESPONSIBILITIES
- Assist with gathering and organizing various records, reports, photographs, site sketches, and mapping data for the locate job being completed in the field.
- Answer incoming calls, relay messages, respond to email inquiries, and act as a secondary point of contact for clients in the supervisor’s absence.
- Complete customer intake forms and prepare various documents for the Locates Manager to utilize to prepare quotes.
- Assist with job set ups and completion within the software system, email final job documentation to clients, prepare estimates based on provided costs and timelines, and track estimates and job costs.
- Maintain and manage website updates, online reviews, and LinkedIn posts.
- Assist in the preparation of locate drawings using field data.

QUALIFICATIONS
- Post-secondary diploma in Office Administration or related field, or a minimum of 3 Years office experience.
- Familiarity with utility and facility locating an asset.
- Previous experience with ordering private locates or locates through the Utility Safety Partners (formerly Alberta One-Call) an asset.
