About the Role
ESI Industrial Inc. is looking for a highly organized, reliable, and detail-oriented Bookkeeping & Operations Administrator to join our team. This position is ideal for someone who is confident working independently, takes initiative, and enjoys managing a variety of responsibilities including bookkeeping, office administration, customer communication, shipping coordination, and day-to-day operations support.
The successful candidate will have strong QuickBooks experience, excellent organizational skills, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Manage day-to-day bookkeeping tasks using QuickBooks
- Maintain accurate bookkeeping records and financial documentation
- Track customer payments and accounts receivable
- Monitor outstanding invoices and follow up on payment status
- Prepare and process EFT payments and bank transfers
- Reconcile and maintain organized payment records
- Communicate professionally with customers, vendors, and suppliers through email and phone
- Prepare and send professional business correspondence
- Coordinate shipping throughout Canada and the United States using carriers such as Purolator and UPS
- Prepare shipping documents, labels, and track shipments
- Assist with inventory handling and organization
- Lift and move items up to 50 lbs when required
- Maintain organized files, records, and administrative systems
- Identify tasks that need attention and take initiative to complete them without constant supervision
Qualifications & Skills
- Expert-level knowledge of QuickBooks (required)
- Strong bookkeeping experience
- Experience managing accounts receivable and payment tracking
- Experience processing EFT payments and bank transfers
- Strong written and verbal communication skills
- Professional email writing skills
- Excellent attention to detail and accuracy
- Highly organized with strong time-management skills
- Ability to prioritize multiple tasks and meet deadlines
- Comfortable working independently and taking ownership of responsibilities
- Experience with shipping processes through Purolator, UPS, or similar carriers is an asset
- Ability to lift up to 50 lbs
