Operations Manager
Job Description

About the Role
Guardteck is looking for an Operations Manager to support day-to-day operations across assigned client sites. This role is responsible for ensuring sites are properly staffed, employees are supported, service standards are maintained, and operational issues are handled quickly and professionally.
The Operations Manager works closely with the Director of Operations, Account Managers, dispatch, mobile teams, supervisors, and frontline employees to keep operations running smoothly across the portfolio.
This is a hands-on role suited for someone who is organized, responsive, confident under pressure, and comfortable balancing employee support, client service, scheduling, and urgent operational needs.
Key Responsibilities
Operations and Site Support
- Support daily operations across assigned Guardteck sites.
- Ensure employees follow company policies, procedures, site expectations, and service standards.
- Review security reports, incident reports, and daily updates to identify concerns, trends, and coaching opportunities.
- Monitor schedules and work with dispatch to ensure shifts are properly staffed.
- Review open shifts in Shiftboard and proactively support coverage needs.
- Update WinTeam to ensure employee hours are accurate before payroll deadlines.
- Submit payroll corrections, vacation requests, reimbursements, uniform requests, and other employee updates as required.
- Conduct employee check-ins, site visits, audits, and performance reviews.
- Coach, support, and address employee performance concerns when needed.
- Respond to after-hours emergencies and escalate serious incidents or operational concerns when required.
Staffing, Dispatch, and Coverage
- Support dispatch with last-minute book-offs, urgent staffing needs, and open shifts.
- Ensure ad hoc coverage requests are properly entered and staffed in Shiftboard and WinTeam.
- Coordinate supervisor site visits for new, temporary, or ad hoc sites when required.
- Confirm shift details accurately reflect the duties, expectations, and requirements of the site.
- Support longer-term coverage needs by helping identify or place permanent staff to improve consistency and reduce turnover.
- Support the rollout of site-specific tools, including Lighthouse, when required.
Client and Internal Team Support
- Work closely with Account Managers to review staffing, service delivery, site concerns, and opportunities for improvement.
- Attend client meetings when required to support communication, relationship management, and service delivery.
- Keep Account Managers informed of site updates, concerns, incidents, and staffing changes.
- Respond to operational requests from Account Managers and internal teams in a timely and helpful manner.
- Support the launch of new contracts by ensuring staff have the tools, information, and resources needed to succeed.
Fleet, Equipment, and Device Support
- Manage vehicles, mobile devices, and operational equipment assigned to the portfolio.
- Coordinate vehicle maintenance and ensure records are updated in PosiTrace.
- Review PosiTrace regularly to monitor vehicle usage and identify concerns.
- Address GPS-related concerns such as speeding, hard braking, extended stops, or potential misuse.
- Confirm dashcams are working properly and complete random dashcam audits.
- Work with Kandor Fleet Support to report and resolve fleet-related issues.
- Troubleshoot basic mobile device issues and escalate technical concerns when needed.

- Comfortable working with scheduling, payroll, HRIS, ATS, and reporting systems.
- Strong computer skills, including Microsoft Word and Excel.
- Experience with Dayforce, WinTeam, Shiftboard, PosiTrace, Indeed, ATS, or HRIS platforms is considered an asset.
- A diploma in Business, Justice Studies, or a related field is preferred, or an equivalent combination of education and experience.
