The Saskatchewan Medical Association is a voluntary professional association for physicians, medical students, and residents training in Saskatchewan.
We are seeking a part-time, permanent Administrative Assistant, Membership & Benefits to join our team. Reporting to the Team Lead, Membership & Benefits, this job-share role (1 of 2) serves as the first point of contact for members and visitors contacting or visiting the SMA. The successful candidate will provide a welcoming, professional first impression by responding to inquiries courteously and directing them to the appropriate staff as needed. The role also provides office, clerical, and administrative support to help ensure the efficient operation of the SMA.
Based on-site at our office in Saskatoon, the regular hours of work are Monday to Friday from 12:15pm to 5:15pm.
Key responsibilities include:
- Handles guest/caller inquiries in a welcoming, professional, timely and courteous manner to ensure the guest/caller’s experience with the SMA is pleasant and satisfactory. Accurately routing calls as necessary.
- Maintains an accurate SMA room booking system by coordinating with both the College of Physicians and Surgeons of Saskatchewan (CPSS) and SMA using a web-based, joint calendar.
- Maintains workplace security by maintaining visitor and contractor logs.
- Monitors, orders and restocks office supplies to maintain an optimal level of supplies that meet the operational needs of various departments/programs.
- Receives, sorts, and distributes mail and delivery requests daily.
- Monitors office equipment, replenishes supplies, and places troubleshooting service calls if required.
- Maintains the professional appearance of the reception and front area including the seating area. Oversee the common professional meeting/space area and reports any maintenance requests.
- Provides clerical and administrative support such as:
- -Efficiently maintains and monitors multiple shared Outlook inboxes. -Follows-up on invites for potential new members. -Assists Team Lead and Coordinator with following up on information needed for benefit claims. -Assists with data entry, or online research. -Creates and distributes minutes of weekly staff meetings. -Creates and updates various documents to ensure smooth operation of the front area, including setting up calendars, and meeting room bookings.-Organizes and sends member announcement cards for changes in practice. -Updates reception office procedure manual. -Other as requested by the Team Lead.
- Acts as on-site fire captain during fire emergency response.
- Other duties assigned by the Team Lead, Membership & Benefits.
Qualifications:
- Post-secondary diploma in Office Administration or equivalent combination of experience and education.
- A minimum of one to two years of experience in reception/office administration and clerical procedures.
- Experience in health care and/or a member association would be an asset.
Hourly Rate:
$26.70- $36.12 per hour commensurate with experience.
