Job Summary
The School of Nursing is recognized for advancing nursing knowledge, practice and policy. Exceptional nurses begin and further their education and careers at Dalhousie University. Reporting to the Administrative Manager, the Graduate Programs Administrative Assistant will provide support for the Master of Nursing (MN), Master of Science in Nursing (MScN), and PhD (Nursing) programs as well as administrative support to the Associate Director, Graduate Studies, Assistant Director, Graduate Clinical Programs, Nurse Practitioner Coordinator, Clinical Placement Coordinator, Master of Nursing, Master of Science in Nursing, and PhD (Nursing) programs.
Key Responsibilities
- Liaise with faculty, students, and personnel in the Faculty of Graduate Studies, Registrar’s Office, Student Accounts, etc. to obtain/provide information.
- Coordinate the admissions process for Master’s and PhD students. Receive applications, set up and maintain confidential hard copy and computerized records. Calculate grade point averages, track supporting documentation and correspond with applicants re missing documentation.
- Monitor progress of students in MN, MScN, and PhD programs. Set up and maintain manual and computerized files to monitor progress of students and liaise with the Faculty of Graduate Studies in regard to registrations and submission of annual reports.
- Generate reports and/or data from database(s) as requested by Director, Associate Director Graduate Studies, Assistant Director, Graduate Clinical Programs and Nurse Practitioner Coordinator. Compile and maintain statistical data on numbers of applicants, continuing students, scholarship eligibility, scholarship achievement, theses, graduating students, attrition, etc.
- Support various committees, liaising with the Committee Chairs on agendas, minutes, and actionable items.
- Maintain knowledge of University, Faculty, School, and program policies, procedures, guidelines, processes, deadlines
Note
The successful applicant will primarily work remotely from within Nova Scotia with occasional presence in-person on-campus to meet client needs and operation requirements.
Required Qualifications
- Business/Administrative Professionals program with three to five years’ related work experience (or equivalent combination of training and experience).
- Excellent computer and Internet skills (MS Office Suite, internet search engines, email software, etc.)
- Excellent organizational and communication skills
- Demonstrated initiative with the proven ability to work in a team environment, and to work independently, make sound decisions, and solve problems.
Assets
- Experience with or knowledge of updating websites.
- Experience with or knowledge of planning, tracking and processing student clinical placements and; evaluation, collating and reporting of student clinical placements using relevant designed software.
