About the Role
We're looking for a highly organized, proactive professional to help keep our growing business running smoothly. This is a hands-on role for someone who enjoys creating order, solving problems, and taking ownership of projects and processes. This role involves overseeing front desk activities, managing vendor relationships, and supporting various administrative functions to promote efficiency and professionalism within the organization. Prior experience with office management tools such as QuickBooks is preferred. The Office and Operations Coordinator will play a key role in maintaining a well-organized, productive work environment and supporting the overall success of the team.
Responsibilities
- Administrative tasks including answering phones, greeting visitors, and providing general administrative support to the team.
- Bookkeeping entries into QuickBooks Online
- Coordinate purchasing activities, including creating purchase orders, following up with suppliers, and monitoring inventory levels.
- Receiving incoming shipments, verify accuracy against purchase orders, and organize inventory.
- Ensure office supplies are stocked and equipment is maintained
- Support production by ensuring materials, components, and documentation are available for manufacturing.
- Coordinate shipments with couriers, freight companies, and customs brokers.
- Prepare packing slips, shipping labels, customs documents, and other required paperwork.
- Maintain accurate inventory, purchasing, and product information within the ERP system
- Create social media content and assist with preparing marketing materials.
Requirements
- Exceptionally organized and detail-oriented
- Ability to multi-task efficiently in a fast-paced environment
- Communicate clearly and work well with others
- Excellent communication skills, both verbal and written
- Enjoy building systems and finding better ways of doing things
- Prior office experience with a focus on administrative support or clerical duties
- Prior experience with shipping, receiving or inventory management
- Experience with Office365
Bonus experience
- Inventory, logistics, purchasing, or manufacturing environments
- ERP, bookkeeping, or business software experience
- Supervising experience is highly desirable for team oversight responsibilities
- Experience with LinkedIn, FB, Instagram, Canva, email marketing, or WordPress
- Photography, video, graphic design, or content creation experience

Pay: $55,000.00-$70,000.00 per year
