Role Summary
The Junior Dispatcher supports Dream Big Transportation’s dispatch operations. This role operates exclusively in the Toronto EST time zone and focuses on load creation, border documentation, driver coordination support, and real-time communication with customers and the dispatch team.
Mandatory Requirements
- Minimum 1 year dispatch experience with a Cross-Border Canada–USA trucking company operating from Toronto or Montreal.
- Strong working knowledge of ACE, ACI, PARS, PAPS, and cross-border customs clearance procedures.
- Working understanding of Drivers Hours of Service requirements in Canada and USA.
- Strong knowledge of TMS platforms, preferably Avaal.
- Strong knowledge of Samsara Fleet Management software.
- High proficiency in spoken and written English.
- Hindi required; Punjabi an asset for supporting driver interactions.
Core Responsibilities
1. Load Creation & TMS Workflow
- Create, update, and maintain all load entries in the Company’s Transportation Management System (TMS) in real time.
- Assist with driver assignment based on HOS, equipment, route requirements, and operational flow.
- Upload and index shipment documents including rate confirmations, border documents, and PODs.
2. Border Clearance & Documentation
- Prepare, verify, and transmit ACE/ACI e-manifests for all cross-border movements.
- Generate and manage PARS/PAPS barcodes and coordinate directly with customs brokers.
- Track clearance statuses and escalate delays to the Toronto Dispatch Team immediately.
3. Driver Communication Support
- Answer driver calls professionally during assigned EST hours.
- Provide instructions for pickup/delivery, route details, and border requirements.
- Communicate fluently in English, Punjabi or Hindi with drivers as required.
4. Real-Time Tracking & Operational Monitoring
- Track trucks and drivers in real time via ELD/GPS systems, namely our Samsara Fleet Management Platform, proactively identifying risks to schedule.
- Update TMS with accurate arrival, departure, border crossing, and delay information.
- Maintain a real-time log of operational exceptions for the team.
5. Customer & Internal Team Communication
- Send real-time load status updates to customers by email, including pickup/delivery confirmations, border clearance notifications, delays, ETA updates, and supporting documentation.
- Update the Senior Dispatch Team with shift-based load progress reports, exception alerts, issues requiring managerial intervention, and end-of-shift handover summaries.
- Respond promptly and professionally to customer and internal email inquiries.
Technical Skills Required
- High proficiency in ACE/ACI filing systems, PARS/PAPS workflows, TMS platforms, and ELD/GPS tracking tools.
- Strong working knowledge of Microsoft Outlook, Excel, and document handling.
- Ability to interpret and apply Hours-of-Service (HOS) compliance rules.

Additional Notes
- This is a full-time role requiring office attendance.
- Training on systems, SOPs, TMS workflows, and communication protocols will be provided.

Pay: $38,000.00-$48,000.00 per year
