Overview
The Procurement, Logistics and Supply Chain Specialist is responsible for supporting Shift’s procurement, vendor coordination, contract administration, purchasing controls, inventory support, and commercial documentation. This role ensures that parts, materials, services, subcontractors, and customer/vendor agreements are organized, tracked, cost-controlled, and aligned with project delivery needs. The role includes contract negotiation and payment processing. This role also manages transportation logistics, setting up and maintaining related accounts and ensuring the efficient and timely delivery of goods to customers and company tradeshows, and demonstration events.
Duties
- Review purchase requests and confirm approval from Finance
- Issue purchase orders and execute order processing with vendors, complete online order processes
- Track orders from PO issuance to order delivery
- Establish and audit purchasing and procurement policies and procedures
- Support vendor sourcing, quote comparison, supplier qualification, pricing review, lead-time tracking, and preferred supplier development
- Pursue payment terms from preferred vendors
- Process vendor payments
- Monitor vendor lead times and alert project teams early when delays could affect delivery
- Report by project, type of purchase, time frame, etc.
- Set up and manage business shipping accounts (couriers, CARM, brokerage)
- Ensure related payments are processed in a timely manner
- Communicate with customs agents and couriers to facilitate deliveries
- Adhere to best shipping prices
- Prepare shipping documentation
- Schedule pick-ups or arrange drop offs for all shipments
- Prepare and pack parcels as needed
- Track all shipping, receiving, logistics, customs paperwork, warranty returns, repair shipments, and field deployment loadout requirements
- Update and maintain inventory tracking spreadsheet
- Support inventory control by coordinating with Facilities/Inventory staff on stock levels, received goods, serialized equipment, spares, consumables, and project allocations
- Help establish controls so the company avoids duplicate purchases, unmanaged commitments, missing approvals, unclear vendor terms, and project cost overruns

Knowledge Required:
- Knowledge of procurement basics and processes, laws and regulations, markets and trends, sustainability, and social responsibility
- Basic understanding of the company’s products and services offered
- Knowledge of inventory control methods, including min/max and Kanban replenishment systems
- Knowledge of shipping, customs, and brokerage processes (e.g. CARM)
- Familiarity with inventory tracking and procurement software systems
Physical demands or working conditions: Primarily light office work, though the role may require periodic time in the production facility, which can involve exposure to noise, temperature variation, or forklift/equipment traffic (with appropriate PPE). Occasional need to lift or move packages up to 50 lbs.
Pay: $65,000.00-$70,000.00 per year
