Role Overview
The Project Administrator plays a key role in supporting the successful execution of solar projects from signed agreement through operational handoff. Working closely with customers, internal departments, utilities, and project management teams, this role ensures projects move efficiently, accurately, and compliantly through every stage of the process.
Key Responsibilities
Project Administration & Coordination
- Coordinate the collection, review, and organization of project documentation from contract signing through project onboarding
- Support project progression by liaising with internal departments including sales, operations, permitting, compliance, and project management
- Track project milestones, pending requirements, and outstanding documentation to maintain workflow efficiency
- Assist with scheduling, follow-ups, and administrative coordination for active projects
- Maintain accurate customer records, project details, and status updates within internal systems and CRM platforms
Compliance & Application Processing
- Prepare and submit applications and supporting documentation for utilities, rebate programs, permitting, and regulatory requirements
- Review contracts and project files for accuracy, completeness, and compliance with company standards and applicable regulations
- Ensure all documentation is processed in accordance with internal procedures and regulatory requirements
- Assist with final inspection submissions, project closeouts, and administrative completion tasks
- Escalate documentation gaps, discrepancies, or compliance concerns as appropriate
Customer & Internal Support
- Serve as a point of contact for customers regarding documentation requirements, application status, and project administration inquiries
- Guide customers through onboarding and administrative processes with professionalism and care
- Coordinate with internal teams to resolve administrative issues, missing information, or project-related concerns
- Support timely communication between all stakeholders and assist with escalations as needed
Administrative & Operational Responsibilities
- Maintain organized, accurate digital records and project files
- Support reporting, status tracking, and operational updates as required
- Manage calendars, scheduling, and follow-up tasks to support departmental operations
- Contribute to process improvement and administrative workflow optimization initiatives
What We're Looking For
- Strong organizational and administrative skills with high attention to detail
- Excellent written and verbal communication and customer service abilities
- Ability to manage multiple priorities and deadlines in a fast-paced environment
- Experience with CRM systems, project coordination tools, or administrative platforms is an asset
- Previous experience in project administration, compliance, operations, or the solar/energy industry is an asset
