Job Overview
We are seeking a professional and organized Office Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and ensuring smooth daily operations. This role requires strong administrative skills, proficiency with office software, and the ability to handle multiple tasks efficiently in a fast-paced environment. Experience with legal office is a plus, but not mandatory. The Office Receptionist will play a vital role in maintaining an organized and welcoming front desk atmosphere.
Duties
- Greet visitors and clients warmly, directing them appropriately
- Manage multi-line phone systems, screen calls, and take accurate messages
- Schedule appointments and maintain calendars using Microsoft Office and Google Workspace tools
- Perform data entry tasks with high accuracy, including updating patient or client records
- Handle filing, document management, and maintain organized office records
- Assist with administrative tasks such as proofreading documents, preparing correspondence, and managing mail
- Support bookkeeping activities using QuickBooks or similar software when necessary
- Provide excellent customer service by addressing inquiries promptly and professionally
- Support front desk operations by managing incoming emails, supporting customer support efforts, and ensuring a positive experience for all visitors
Qualifications
- Proven clerical or administrative experience, preferably in a medical or dental office setting
- Strong computer skills with proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry software
- Experience with QuickBooks or bookkeeping is advantageous
- Excellent phone etiquette and ability to handle multi-line phone systems efficiently
- Strong organizational skills with attention to detail and accuracy in typing and proofreading
- Ability to manage multiple priorities while maintaining professionalism under pressure
- Prior experience in customer service roles is highly desirable
- Knowledge of law office procedures is a plus but not required
- High school diploma or equivalent required; additional administrative training or certifications are beneficial
Pay: $21.00-$24.00 per hour
