As our organization continues to grow, we are seeking a motivated and detail-oriented Technical Programs Administrator to join our team. This position plays a key role in supporting training programs, operational systems, technical records management, and continuous improvement initiatives.
Position Summary
The Technical Programs Administrator is responsible for supporting various technical and administrative programs within AMS. The successful candidate will work closely with management, technical staff, and new employees to ensure company processes, training programs, documentation systems, and operational reporting remain accurate, efficient, and compliant.
This position is ideal for an individual who enjoys organization, problem-solving, process improvement, and working in a fast-paced aviation environment.
Key Responsibilities
Technical Records & Documentation
- Review and verify technical records for accuracy and completeness.
- Assist with document control and records management activities.
- Maintain organized electronic and physical filing systems.
- Support audits and internal compliance reviews.
Employee Onboarding & Training Administration
- Coordinate onboarding documentation for new employees.
- Facilitate new hire orientation and introduction to company programs.
- Track employee training requirements and training records.
- Assist with scheduling and coordination of training activities.
- Support AMS Aerotech Training initiatives and workforce development programs.
Process Improvement & Program Support
- Participate in process reviews and continuous improvement initiatives.
- Assist with development and revision of procedures, forms, and workflows.
- Monitor program metrics and provide administrative support to management.
- Help identify opportunities to improve efficiency and consistency across operations.
Operational Data Management
- Monitor and maintain the Real-Time Labour Tracking (RTLT) system.
- Review labour entries for accuracy and completeness.
- Generate reports and support operational performance tracking.
- Assist management with data analysis and reporting requirements.
De-Icing Program Administration
- Input and maintain de-icing program operational and accounting data.
- Track fluid usage, invoicing support information, and operational statistics.
- Assist with seasonal reporting and customer documentation requirements.
Qualifications
Preferred Qualifications
- Post-secondary education in Business Administration, Aviation Management, Office Administration, Human Resources, or a related field.
- Experience in an administrative, training coordination, quality assurance, or records management role.
- Aviation industry experience is considered a strong asset but is not required.
Skills & Abilities
- Strong organizational and time management skills.
- Excellent written and verbal communication abilities.
- High attention to detail and accuracy.
- Ability to manage multiple priorities and deadlines.
- Proficiency with Microsoft Office Suite.
- Comfortable working with databases, reporting systems, and digital records.

- Ability to maintain confidentiality and professionalism.
