Position Summary
Jacobs Transportation Inc. is seeking a highly organized and professional Safety, Compliance & Human Resources Coordinator to support our growing transportation operation. This is a hybrid role designed for someone who can manage trucking safety and compliance requirements while also supporting human resources functions, employee documentation, onboarding, communication, and internal policy administration.
The ideal candidate will be detail-oriented, confident with documentation, comfortable communicating with drivers and staff, and able to help ensure that company policies, safety standards, and employment processes are being followed consistently.
Key Responsibilities
Safety & Compliance
- Maintain accurate and up-to-date driver qualification files.
- Track and manage driver documents, including licences, abstracts, medicals, training records, and required compliance paperwork.
- Assist with CVOR, Hours of Service, ELD, logbook, inspection, and maintenance compliance.
- Monitor driver compliance with company safety policies, pre-trip inspections, accident reporting, paperwork submission, and dispatch communication expectations.
- Assist with safety meetings, driver coaching documentation, incident reports, corrective action letters, and follow-up.
- Review accident, ticket, violation, and roadside inspection documentation.
- Help maintain internal safety and compliance records for audits, insurance, customer requirements, and regulatory purposes.
- Support the development and updating of company safety policies, driver manuals, onboarding packages, and compliance procedures.
- Follow up with drivers regarding missing paperwork, incomplete logs, expired documents, or safety-related concerns.
Human Resources
- Assist with recruitment, screening, interviewing, and onboarding of new drivers and staff.
- Prepare employment documents, offer letters, onboarding packages, policy acknowledgements, and employee file documentation.
- Maintain employee records in an organized and confidential manner.
- Support performance documentation, verbal coaching records, warning letters, and termination documentation when required.
- Act as a professional point of contact for employee questions related to policies, documentation, onboarding, and internal processes.
- Help ensure company policies are applied consistently and fairly.
- Assist management with internal communication, meeting notes, follow-up items, and employee relations documentation.
- Track training, probation periods, policy acknowledgements, and employment-related paperwork.
Administrative & Operational Support
- Work closely with management, dispatch, accounting, and drivers to keep records accurate and organized.
- Assist with customer or insurance compliance requests as needed.
- Prepare reports, letters, memos, and documentation related to safety, compliance, and HR matters.
- Help improve internal systems, filing processes, checklists, and follow-up procedures.
- Maintain confidentiality and professionalism when handling sensitive company and employee information.
Qualifications
- Previous experience in transportation, trucking, safety, compliance, HR, or administration is preferred.
- Knowledge of commercial transportation compliance, CVOR, Hours of Service, driver files, and safety documentation is considered an asset.
- HR experience or familiarity with employee documentation, onboarding, coaching, and policy administration is an asset.
- Strong written and verbal communication skills.
- Excellent organization and attention to detail.
- Comfortable following up with drivers and staff in a professional and firm manner.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Proficient with email, Microsoft Office, Excel, document management, and general office systems.
- Ability to work independently, prioritize tasks, and support multiple departments.
