Solmar Development Corp. is a Vaughan based real estate development company, is looking to add a a Décor Centre Administrator to join the team. The Décor Centre Administrator provides proactive administrative support to daily Décor Centre operations by maintaining accurate documentation, safeguarding build schedules, and delivering exceptional internal customer service.
Working closely with the Décor Consultants and Décor Centre Manager, this role coordinates appointment scheduling, maintains clear communication with purchasers, upholds organized records, supports project timelines, and finalizes all design documentation for construction handoff within established timelines.
CORE RESPONSIBILITIES
- Administrative Operations: Manage daily administrative tasks including email correspondence, document preparation for appointments (lot folders, floorplans, supporting documents, etc.), file organization, and data entry to support Décor Centre workflows.
- Online Scheduling Platform: Complete the community specific appointment set-up using the online platform.
- Appointment Scheduling: Coordinate and maintain the Décor Centre appointment calendar, ensuring purchasers receive invites, confirmations, reminders, preparation materials, etc.
- File Processing: Review all decor documents (colour chart, extras forms, floorplans, amendments, etc.) for accuracy and completeness before publishing to construction.
- System Operation: Utilize Newstar Enterprise and Newstar Sales to manage product information, purchase orders, customer selections, pricing updates, and reporting.
- Consultant Support:Assist decor consultants by preparing files, pulling samples, organizing product information, and managing follow-up items, as required.
- Non-Responsive Décor Files:Complete required décor documents for non-responsive purchasers to meet project deadlines.
- Purchaser Communication: Provide exceptional customer experience through timely, professional responses to purchaser inquiries regarding appointments, documentation, etc.
- Internal Communication: Liaise with internal departments including construction teams to ensure selection information is communicated accurately while meeting deliverables.
- Document Management:Maintain organized digital and physical purchaser records including signed Décor documents, pricing sheets, decor supporting documentation, and correspondence. Track purchaser progress, selection deadlines and construction-related milestones to ensure deliverables are met.
- Reporting & Tracking: Track appointment completion, file submission timelines, upgrade revenue, and outstanding purchaser items, etc. in the décor tracker.
- Operational Support:Assist with Décor Centre upkeep, sample organization, sample labeling, and preparation for purchaser visits, as requested.
QUALIFICATIONS
- Strong organizational, administrative, and customer service skills, committed to supporting a positive purchaser experience.
- Exceptional attention to detail and ability to manage multiple deadlines in a fast-paced environment. Clear, professional written and verbal communication with purchaser and internal teams.
- Proficiency with Microsoft Office and digital scheduling/document management systems is preferred.
- Experience with Newstar Enterprise and/or Newstar Sales is an asset.
- At least 2 years experience in residential development, homebuilding, design studios, customer care, or project administration is required.
This is an on-site role, 5 days a week at our head office in Concord, ON.
